Re-Alliance Re-Alliance is a small UK-registered charity working internationally to advance community-led regenerative approaches in crisis contexts. Our network spans over 300 grassroots organisations, mainly across the Global South, who are pioneering locally rooted regenerative practices such as Agroecology, permaculture, indigenous knowledge systems, ecological water and sanitation designs, and community-led refugee settlement design. We produce learning materials, support our partners in implementing projects, host peer learning spaces, and work to influence mainstream humanitarian actors toward approaches grounded in community agency and ecological regeneration.
Our work is guided by principles of solidarity, decoloniality, non-extractivism, and shifting power towards frontline communities. As a small and values-driven team, we are looking for an organised, proactive and grounded Finance and Operations Manager to provide reliable operational, financial and administrative support, ensuring our internal systems run smoothly and ethically as we grow.
Role Purpose
The Finance and Operations Manager will oversee key organisational operations including basic finance processes, administrative systems, reporting support, compliance, and coordination of internal governance. This role is essential for keeping our small charity running smoothly and enabling our wider work of supporting our members and partners. This role is ideal for someone experienced in charity administration who enjoys working in a flexible, remote, mission-driven environment and who is comfortable holding responsibility across a range of operational tasks.
Key Responsibilities
1. Finance and Budget Support
● Maintain accurate financial records, filing and documentation.
● Process payments, invoices and reimbursements in line with organisational procedures.
● Carry out bookkeeping in Xero.
● Track expenditure against project budgets and core budgets using Xero and Google Sheets.
● Support production of simple quarterly financial summaries for the team and Board of Trustees.
● Support annual accounts preparation and audit/independent examination processes.
● Complete monthly payroll submissions to our payroll provider.
2. Fundraising Research and Grant Administration
● Support the team by carrying out light-touch fundraising research and prospecting, including tracking suitable small grants, trust and foundation opportunities, and aligned partners.
● Assist with gathering financial and operational information needed for funding proposals.
● Support the preparation of simple project budgets, ensuring consistency with internal costings and donor requirements.
● Support with maintaining an organised record of submitted proposals, deadlines and outcomes.
● Assist with collecting and organising information for donor reports and support the team to ensure reporting requirements are met on time.
● Maintain up-to-date records of grant agreements, reporting deadlines and budget lines.
3. Governance and Compliance
● Coordinate tri-annual Trustee meetings, including scheduling, minute taking, and circulating papers.
● Maintain statutory records and support annual Charity Commission submissions.
● Ensure relevant policies remain up to date and properly filed.
● Support implementation of safeguarding and data protection practices as needed.
4. Internal Coordination and Administration
● Manage the central organisational calendar, including key deadlines, events and reporting cycles.
● Act as a point of contact for general enquiries to the charity.
● Maintain shared filing systems and basic operational documentation.
● Support onboarding and contracting of freelancers or consultants when needed.
● Help strengthen light-touch operational processes suited to a small remote team.
● Identify areas for streamlining or improving day-to-day operations.
Person Specification
Essential
● Fluent in English with strong written and verbal communication skills.
● Good quality and consistent internet connectivity.
● Ability to work at times which synchronise with the team’s working pattern, typically on a Tuesday - Thursday 09:30 - 17:30 GMT / BST.
● Experience in charity administration, operations, or finance roles.
● Good understanding of small charity governance and UK Charity Commission requirements.
● Competence in basic bookkeeping processes, budget tracking and financial documentation.
● Excellent organisational skills with strong attention to detail.
● Ability to manage multiple tasks with minimal supervision.
● Comfortable working remotely and collaboratively in a small, values-driven team.
● Alignment with Re-Alliance’s mission and values, including commitment to decolonial and community-led approaches.
Desirable
● Experience supporting international programmes or networks.
● Experience using Xero, Zoom, and the Google Suite.
● Familiarity with humanitarian or development sector administrative requirements.
