Purpose of Job
The Intern will support the COP31 coordination team in the preparation and delivery of activities related to the COP31 event to be held in Antalya, Türkiye, in November 2026. The intern will contribute to a range of logistical, operational, and technical tasks required before and during the event, helping ensure the smooth functioning of on-the-ground activities and coordination among stakeholders.
The Intern will assist in organising event logistics, coordinating with internal teams and external partners, and providing day-to-day operational support during the preparation phase as well as throughout the conference period. While supporting multiple workstreams across the team’s responsibilities, the intern will also contribute to background research, information management, and technical assistance related to event delivery.
The Local Administration Team is responsible for providing operational, logistical, and administrative support for the organisation and delivery of the COP31 conference to be held in Antalya, Türkiye, in November 2026. The team plays a central role in ensuring that the day-to-day administrative functions and on-the-ground coordination required for a large-scale international conference are carried out efficiently and in close collaboration with relevant national authorities, international partners, and conference stakeholders.
Under the leadership of the Principal Administration Manager, the team manages a broad range of operational activities that support the planning, preparation, and implementation of COP31. These include coordinating local logistics, managing administrative processes, supporting procurement and vendor coordination, and facilitating communication and coordination between the conference secretariat, government counterparts, service providers, and other participating organisations.
The team is also responsible for overseeing routine administrative operations related to the conference preparation and delivery, including documentation management, scheduling and coordination of meetings, logistical arrangements for delegations and events, and providing practical support during the conference period to ensure smooth operations.
Working in a fast-paced and dynamic environment, the Local Administration Team supports both planned activities and ad hoc operational needs that arise in the lead-up to and during the conference. The intern will work under the supervision of the Principal Administration Manager and support the team across a variety of daily and ad hoc tasks, contributing to the effective coordination and delivery of COP31-related administrative and logistical activities.
Accountabilities & Responsibilities
- Provide comprehensive administrative and operational support to the team on the ground and to relevant HQ functions to contribute to the smooth planning and delivery of the COP31 event in Antalya, Türkiye.
- Work closely with both internal colleagues and external stakeholders, including service providers, partner institutions, and conference counterparts, to support coordination and information flow.
- Assist the team with logistical coordination and day-to-day administrative tasks related to COP31 preparation and implementation, including documentation, scheduling, and meeting coordination.
- Provide occasional administrative and coordination support to other related project activities and workstreams as required.
- Support the team with ad hoc tasks and special assignments that arise in the context of conference planning and operations.
- Assist in monitoring relevant developments, operational updates, and information related to COP31 planning and implementation.
- Attend internal and external meetings or events when appropriate and provide brief summaries or notes to support team coordination.
- Contribute to effective communication and coordination across teams by helping track actions, maintain documentation, and support information management processes.
Knowledge, Skills, Experience & Qualifications
- Fluency in English; Excellent writing skills in English and an eye for quality and detail
- Communication skills – Ability to communicate appropriate, concise and accurate information in verbal and written formats, appropriate to the audience at the time
- Strong research skills – Ability to research and distill information with speed and efficiency
- Computer literacy, conversant with Microsoft Office and spread sheet packages.
- Ability to work independently while also knowing when to seek advice;
- Ability to operate in a multi-cultural environment with changing priorities.
- Strong Team player
- University student or graduates within the last 3 years are suitable.
