PURPOSE

Reporting to the Finance and Operations Officer under Finance and Corporate Services (FCS) Unit of GGGI Indonesia, the Human Resources Senior Assistant is responsible and supports coordination of human resources services in Indonesia. This role covers staff and non-staff recruitment, onboarding, learning and development, employee relations, employee engagement actions, policy compliance, and work permit applications, among other global and local HR initiatives. The position plays a key role supporting staff throughout their lifecycle.

ENGAGEMENT
  • Working closely with the Human Resources team in HQ and the FCS team in Indonesia to support human resources related services, and compliance with GGGI rules and regulations.
  • Collaborate with Indonesia team on global and local HR initiatives, including that of learning and development and engagement.
  • Be the initial contact point for employee relations matters.
  • Work with hiring managers, provide process and compliance advice on staff and non-staff recruitments.
  • Engage with potential candidates, maintain talent pools, ensure timely communication and engagement.
DELIVERY

HR administration

    • Provide advice on staff rules, and other HR operational rules.
    • Support end-to-end‑ recruitment including review of JDs, job posting, screening CVs, and scheduling interviews.
    • Ensure that employee documentation is properly submitted, recorded and maintained.
    • Conduct onboarding sessions and ensure proper induction procedures.
    • Coordinate and implement contract renewals
    • Manage visa, KITAS, and work permit processes, ensuring full compliance with Indonesian regulations.
    • Coordinate renewals, track expiry dates, and liaise with immigration offices or agents.
    • Support expatriate staff with required documentation and procedural guidance for their residency needs.

Employee Relations

    • Serve as a point of contact on employee relations matters.
    • Ensure consistent application of internal conflict resolution approaches.
    • Escalate early risks and remedies.

Learning and Development and Employee Engagement

    • Coordinate training needs, logistics, and documentation for staff in alignment with GGGI’s Learning and Development (L&D) programming.
    • Prepare quarterly L&D activity reports for management.
    • Supports employee engagement and recognition initiatives and actions
REQUIREMENTS (only recruitment purpose)
 
QUALIFICATIONS
  • A bachelor’s degree in Human Resources, Business Administration, Management, or a related field.
  • 3 years of relevant work experience is preferred.
  • Professional Human Resources certification is an advantage.
  • Experience in international organizations is considered an advantage.
  • Familiarity with ATS, ERP systems, project support, and administrative tasks is beneficial.
  • Proficiency in both Indonesian and English is required.

WORKING CONDITIONS

Human Resources Senior Assistant is an X5 grade level in GGGI’s National salary scale. Determination of base salary is subject to candidate's experience, academic background, and internal equity. GGGI provides 15% of base salary towards retirement plan/long-term savings, 27 days of annual leave, and private health insurance that covers dental and vision. GGGI is committed to providing a work environment that is sufficiently flexible to accommodate diverse life-cycle challenges and assist Staff members to achieve a better balance between work and personal/family commitments, thus ensuring high performance, long-term productivity, and well-being of Staff members. The chosen candidate is expected to be based in Jakarta, Indonesia and will report directly to the Finance and Operations Officer of GGGI Indonesia (also based in Jakarta). This is a national position and does not include relocation benefits. Subject to meeting the eligibility requirements, a candidate relocating from more than 50kms from the duty station may be entitled to claim a mobilization allowance and travel fares.
