Job Description
Introduction:
Within the newly established Internal Justice Secretariat (IJS), working in close coordination with the Registrar, and in support of the Chairs and Deputy Chairs of the boards, you will provide day-to-day administrative assistance to facilitate the smooth organisation and proper documentation of appeals and disciplinary proceedings before the Boards in accordance with CERN's legal framework and confidentiality requirements.
Functions:
- Provide administrative support to the Registrar, Joint Advisory Appeals Board (JAAB), and Joint Advisory Disciplinary Board (JADB), and their panels in handling appeals and disciplinary cases.
- Manage end-to-end processing of case files from registration to closure in line with procedures.
- Register and track incoming submissions and correspondence in the case-management system.
- Maintain accurate, secure, and compliant electronic case files.
- Monitor deadlines and flag delays to the Registrar or relevant Chairs.
- Prepare and circulate procedural documents, notices, and decisions.
- Support hearings and meetings (scheduling, documentation, minute-taking, logistics).
- Act as a point of contact for Boards, members, and internal services on administrative matters.
- Respond to queries on procedures, timelines, and documentation requirements.
- Assist with reporting, statistics, templates, registers, workflows, and website updates.
- Handle general administrative tasks, including guidance on procedures and personnel-related formalities.
Qualifications
Bachelor's degree or equivalent relevant experience in the field of Paralegal or a related field.
Experience:
- Extensive experience providing administrative support to internal justice boards and/or committees.
- Organising and supporting meetings and hearings (scheduling, documentation, minute-taking).
- Managing the registration and tracking of formal correspondence and documentation.
- Creating and maintaining secure electronic case files.
- Monitoring deadlines and procedural timelines.
- Solid experience handling confidential and sensitive information.
- Ensuring compliance with applicable rules, procedures, and data protection standards.
Technical competencies:
- Secretarial work.
- Knowledge of administrative rules and procedures: in particular, the ability to work strictly within established procedures, templates, and workflows, and to provide factual administrative information without offering legal advice.
- Use of office software packages.
- Information and document management.
