Job Description
Under the general supervision of the Chief of Mission, and the direct supervision of Movement Operations Coordinator, the Operations Assistant Sênior (Movements) is responsible for suport movement operations activities, with the following duties and responsibilities:
Responsibilities
Support the coordination, scheduling and booking of travel for individuals upon receipt of travel-ready status and/or request, in line with travel requirements, including the distribution of Advance Booking Notifications (ABNs), updates, domestic flights, cancellations and departure notifications.
Support the organization and timely completion of all bookings in accordance with the Handbook of IOM Tariffs (HIT) and RMM standard operating procedures (SOPs), and assist in the dissemination of travel information to internal and external stakeholders under the guidance of the supervisor.
Assist in compiling and analysing descriptive statistics, using I-GATOR to capture costs and support the preparation of travel loan documentation in line with SOPs and host government procedures.
Support the creation and maintenance of movement data files, by ABN, for all individuals in accordance with SOPs and IOM accountability requirements.
Support the identification and assignment of escorts for vulnerable individuals, in accordance with local practices, RMM guidelines and in coordination with supervisors.
Assist in processing exit permissions and travel documentation in line with established standards and local guidelines, under the supervision of the supervisor.
Support identity and document verification processes prior to the issuance of travel documentation to refugees, immigrants and migrants.
Assist in delivering pre-departure counselling on embarkation procedures and special travel needs, including meals, medication, mobility assistance and medical conditions, and support the identification and referral of vulnerabilities for appropriate follow-up.
Provide regular updates on tasks and progress to the supervisor and promptly escalate any issues that may arise.
Support duty travel arrangements and participate, as required, in meetings, trainings and other programme activities, including their planning and facilitation.
Undertake duty travel as required and delegated to support meetings, trainings and other programme-related activities.
Maintain a sound understanding of applicable SOPs, systems and databases, and IOM Standards of Conduct, while supporting the confidentiality and integrity of all relevant documentation in line with data protection rules.
Support the implementation of RMM Protection Mainstreaming Minimum Standards and uphold professional, impartial and unbiased conduct in all interactions, in line with IOM Standards of Conduct and PSEA principles. Escalate any observed non-compliance to the supervisor or management.
Perform other related duties as assigned in support of operational activities.
Qualifications
EDUCATION
- School diploma with three years of relevant experience; or,
Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with one years of relevant professional experience.
EXPERIENCE
Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations;
Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups; and,
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
