Duties and Responsibilities
These internship positions are located in various offices within the Division of Administration at UNOG. The interns will report to the Project Leaders for their selected position. Communication/Transition: Office of the Director (2 positions) The internship offers an opportunity to participate in the day-to-day tasks related to the support and realization of large-scale moves and transition of United Nations staff to renovated and new office spaces, within a large-scale project impacting the workplace and ways of working for United Nations staff. The daily responsibilities may include, but are not limited to: • Produce internal communication products for stakeholders implicated by moves, including brochures, graphic images, videos and other materials, to be published on iSeek, the UN intranet and/or printed for internal distribution. • Produce online content for the UN Geneva internal and external websites. • Assist as needed during move days and settling-in days post-move for different UN entities. • Assist in the development of post-move user feedback surveys and other means of soliciting user feedback, • Assist in tours to office spaces and other stakeholder engagement activities. • Assist in ad-hoc translation of written content from English to French. Communication/Events: Office of the Director (2 positions) The intern will be tasked with supporting the internal communications strategy at the Office of the Director of the Division of Administration, focusing on accessibility issues at the Palais des Nations. Key responsibilities will include: • Creating content about accessibility. • Designing and updating newsletters for staff communication. • Facilitating communication with member states on accessibility issues. • Assisting in the organization of events around disability inclusion. • Performing updates on the intranet. • Developing and implementing new outreach channels Anti-Racism: Division of Administration (1 position) The intern will be tasked with supporting the UNOG Anti-Racism Advocate. Key responsibilities will include: • Assisting the secretary of the Working Group organizing events and in taking notes/drafting minutes of the various meetings held by the Working Group and Geneva Alliance against racism (GAAR). • Assisting in video taking activities for outreach/advocacy activities, working with various teams of social media to monitor statistics and the impact of the outreach activities and reporting to the Chair. • Assisting in drafting internal communications and in the creation of the UNOG webpage in relation to racism and racial discrimination and in adding regular content to it. • Collecting information about the Global South countries to be contacted within the outreach efforts made by the Working Group. • Assisting the chair of the Working Group in the monitoring of the agreed recommendations to fight racism and racial discrimination and serving as the secretary of the Geneva Alliance against racism (GAAR). Events Centre (Information Technology) (1 position) The intern will support the Event Center team with the introduction or adaptation of cloud-based or local Artificial Intelligence tools relevant to Event Support. Tasks will include: • Researching latest developments on Artificial Intelligence Cognitive Services tools already available for use at the United Nations Office at Geneva. • Exploratory work on current event-related use cases for the application of cloud-based or local Artificial Intelligence tools. • Participating in the creation of prototypes and minimum viable products to showcase the explored use cases. Financial Resources Management Service (FRMS) (2 Positions) The internship will support the office of the Chief of Financial Resources Management Service (FRMS) and the Programme Planning and Budget Section (PPBS). Duties may include, but are not limited to: • Drafting and updating short SOPs, checklists, and quick-start guides. • Updating FRMS intranet page: Creating FAQs and visuals like flowcharts, org chart with photos and reporting lines. • Supporting budget work: Helping to compile data, review proposals/reports, and run simple checks in Excel. • Working on cost recovery: Organizing and analyzing basic pricing data. • Assisting with MS SharePoint structure and permissions. Property Management Intern (1 position) The Property Management Sub-Unit PMSU at UNOG provides property management services to client offices with property located in Geneva, ensuring compliance with organizational rules and procedures (such as Maintaining an up-to-date equipment register, Conducting annual physical verifications, Performing progress, performance, and KPI analysis, Asset accounting, Managing UNOG's Donation Programme for IT equipment and furniture supporting eligible entities per internal procedures, Overseeing the reporting, retention, and disposal of honours, decorations, favours, gifts, and remuneration received from governmental and non-governmental sources). The intern will support the PMSU team in one or several of the following key areas: • Annual Physical Verification Exercise: Participate in the yearly verification of UN property in Geneva, including preparatory activities, physical verification, and record reconciliation using MS Excel, VBA (Visual Basic for Applications) and eventually Python. • Donation Programme: Assist in handling and coordinating donation requests, ensuring compliance with internal procedures. • Honours, Decorations, and Gifts Management: Contribute to the review and organization of received items, including physical rearrangement, database cleanup, and drafting of internal procedures. • Operational Useful Life (OUL) Data Management: Assist in the preparation, review, and dispatching of OUL-related data to client entities, including coordination and data analysis. • Property Data Analysis: Collaborate with the team to conduct ad hoc analysis on UN property-related data. • Team Coordination and Documentation: Take notes during relevant meetings and assist in team coordination. • Other Duties: Provide additional support as required. Logistics sub-unit (2 positions) The internship offers an opportunity to participate in a unit wide digitalization and data quality initiative that supports shipments and mail operations, driver and fleet management, and warehouse activities within a diverse ecosystem of Excel, SharePoint, Microsoft Power Apps, Access, and custom tools). The daily responsibilities may include, but are not limited to: • Clean, organize, and validate operational datasets; improve or standardize Excel based reporting templates; and prepare monthly or ad hoc dashboards (with optional exposure to Power BI). • Document workflows, map data flows and pain points, update user guides/SOPs, and provide light troubleshooting (within skill level). • Create prototype(s) of small digital tools to enhance data capture and consistency. If two interns are selected, they will collaborate on cross cutting digitalization efforts (e.g., unified data structures or shared SharePoint solutions), potentially divide focus areas (such as fleet vs. shipments/warehouse), and deliver joint outputs.
Qualifications/special skills
To qualify for an internship with the United Nations, applicants must meet one of the following requirements: (a) be enrolled in, or have completed, a graduate school programme (second university degree or equivalent, or higher); (b) be enrolled in, or have completed, the final academic year of a first university degree programme (minimum bachelor's level or equivalent). Interested candidates must be pursuing or must have pursued their degree in Administration, Business, Management, Finance, International Relations, or another field related to this Job Opening including Communications, Public Relations, Architecture/Design, Social Sciences, information technology, Accounting, Asset management, Management, Economics. Experience or studies in Racism and/or Discrimination issues is an asset. Experience in Environmental Affairs or sustainability is an asset. Experience in Graphic Design and Videography is an Asset Applicants must also have: • Strong written and verbal communication skills. • Ability to work independently and as part of a team. • Good organizational skills and attention to detail. • Proficiency in using digital communication tools and platforms. • Computer literacy – command of standard applications including MS Suite (Word, Excel and PowerPoint). • Data analysis and reporting. Drafting, editing and proof reading. • Keen interest in the work of the United Nations and a personal commitment to the ideals of the Charter. • Excellent organizational skills and the ability to effectively interact with diverse stakeholders and individuals of different cultural backgrounds and beliefs, which include willingness to try and understand and be tolerant of differing opinions and views. • Applicants for the PMSU internship must also: be proficient in standard Microsoft software applications, particularly Excel, VBA (Visual Basic Applications), Word, Outlook, SharePoint, and Teams. Python is an advantage. They must also be tech-savvy with a keen ability to adapt to new digital tools and platforms. Ability to analyze large datasets is highly desirable. • Applicants for the Logistics sub-unit must in addition show Interest in digitalization, workflow improvement, and problem solving. Applicants to the UN Internship programme are not required to have professional work experience. However, a field of study that is closely related to the type of internship that you are applying for is required. Applicants must be a student in the final year of the first university degree (Bachelor or equivalent), Master's or Ph.D. Programme or equivalent, or have completed a Bachelor's, Master's or Ph.D. Programme. Languages
English and French are the working languages of the United Nations Secretariat. For the internship advertised, fluency in English is required. Knowledge of an additional United Nations official language is an asset (Arabic, Chinese, English, French, Russian and Spanish).
