The Role

Outcapped GmbH is hiring a detail-oriented Operations Associate to support mission-driven startups across AI safety, global development, and adjacent fields.

This is a hands-on, execution-focused role. You will support day-to-day operations, maintain systems, and ensure workflows run smoothly across tools and processes. You will work closely with more senior operators and gain exposure to how strong operational systems are built.

What We Do
Outcapped is an operations agency that frees mission-driven founders from back-office work. We are also building a platform with a library of 150+ vetted SOPs and an AI-powered workflow builder to standardize and automate finance, HR, legal, and IT tasks.

Key Responsibilities

  • Systems upkeep: Maintain data hygiene across tools such as Notion, Airtable, and Google Workspace. Support permissions reviews and basic system audits. Test workflows and flag issues before rollout.

  • Tool support: Assist with researching and implementing new tools. Help configure and QA simple workflows and integrations.

  • Documentation: Maintain SOPs, guides, and internal documentation. Ensure documentation is clear, current, and usable.

  • Light bookkeeping: Track expenses, process invoices, and support reconciliations.

  • Compliance support: Help gather and organize information for filings and vendor coordination.

  • Web and content upkeep: Update website pages, upload blog posts, and QA links and forms.

  • Day-to-day support: Handle ad hoc admin and QA tasks. Spot inconsistencies and flag issues early.

About You

Must-haves

  • 1–3 years of experience in operations, admin, or similar roles

  • Experience supporting at least 1–2 operational areas such as tooling, finance, documentation, or admin

  • Strong attention to detail and organizational skills

  • Clear written and verbal English communication

  • Comfort with tools like Notion, Google Workspace, Slack, or ability to learn quickly

  • Reliable and proactive in completing assigned work

Nice-to-haves

  • Exposure to startups or fast-paced environments

  • Familiarity with no-code tools such as Airtable, Zapier, or Make

  • Interest in AI tools or automation

Compensation Structure

We set compensation case-by-case based on role scope, experience, availability, and location.

€25–35 per hour, full-time equivalent €40–80k per year. This range is a guidance, not a fixed bracket

Time Commitment and Benefits

  • Time commitment: This is a full-time role.

  • Contract setup: We are open to employment through an EOR, direct employment (Germany only), or a contractor relationship.

  • Benefits that fit: Full-time team members receive a customized benefits bundle. Contractors set their own mix and rates are adjusted accordingly.

  • Remote-first: Work from anywhere with 3–4 hours overlap with CEST (9 AM to 6 PM) and 3–4 hours overlap with Pacific time three days per week.
