What we do

The International Committee of the Red Cross (ICRC) works worldwide to provide protection and humanitarian assistance to people affected by conflict and armed violence. We take action in response to emergencies and, at the same time, promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation in order to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.

Purpose

The Assistant & Information Management (IM) Officer plays a vital role in supporting key IT processes across the Technology & Information (T&I) Division. Reporting directly to the Head of Value Management Office, this position is central to ensuring smooth administrative operations, fostering effective communication, and enabling collaboration within a dynamic, hybrid team environment. 

Accountabilities & functional responsibilities

Operational Excellence

  • Own the IT on/offboarding process which includes all the administrative work related to staff arrival and departures
  • Lead the IT consultant contract process by engaging the relevant stakeholders in drafting, validating, and signing
  • Support the financial excellence team in managing invoices, purchase orders, reporting creation and automation

Internal Communication

  • Own email distribution lists
  • Manage T&I internal and external communication, ensuring information remains accessible and updated
  • Support CIO in managing agenda, travels, and expenses
  • Manage logistics for internal workshops/events

Information Management

  • Act as a focal point for IM policies, providing training and support to staff while conducting compliance assessments within T&I
  • Archive documents to preserve necessary information for knowledge and auditing purposes

Relationships

  • Internally, interacts with other members of the T&I leadership team and T&I senior managers. Additionally, they deal with key stakeholders beyond the division, such as Support and Digital Transformation and the Human Resources Department.
  • Externally, they may interact with vendors, suppliers and other ICRC partners, e.g., IFRC. 

Professional experience and skills required

  • 5 years of working experience as an administrative assistant
  • Advanced knowledge of collaboration and file-sharing tools, such as SharePoint
  • Experience with exporting and analysing data, and building pivoting reports
  • Advanced BI Reporting and Microsoft Excel skills
  • Good understanding of data source and report logic
  • Ability to learn to rapidly adopt ICRC internal tools, e.g., PowerBI, Power Apps, ServiceNow, AureDevOps
  • Excellent command of written and spoken English; French is desirable
  • Good communication skills
  • Experience in process automation and simplification
  • Continuous improvement
