Overall purpose of the role:

Responsible for performing general Human Resources and Administration functions, playing a key role in the overall HR functions including staff recruitment, contracts preparations, staff leaves/attendance and time-sheets tracking. This role has an area focus and ensures compliance to DRC procedures and guidelines within the area. The role contributes to the development of area strategies, which are translated into action plans and day-to-day tasks. The role provides support and/or technical guidance to base operations.

About the job:

Human Resources

  • Assist in ensuring staff compliance with human resources policies, as per DRC’s Operations Handbook and local HR Handbook. 
  • Ensure that leave, recruitment and training trackers are updated on a regular basis and create trackers for the area office when needed.
  • Monitor staff attendance and ensure that all staff timesheets are submitted and filed on time.
  • Assist in communicating with interview candidates and scheduling for tests and interviews.
  • Prepare employee contracts, amendments and extensions.
  • Responsible for ensuring the following are accurate, complete and up to date: personnel files, administration of health insurance scheme, social security…
  • Assist managers and staff on effective performance management and administer the collection of performance management documentation.
  • Ensure new staff receive an appropriate orientation and induction.
  • Ensure clearance and debriefing is carried out for exiting staff and track the deed calculation in coordination with HR Officer
  • Support staff development activities including promoting the DRC Learning Catalogue.

Administration

  • Ensure that all office systems and equipment (power, water, telephone, photocopier, fax, etc.) are in good working order.
  • Responsible for necessary repairs & maintenance in a timely manner in coordination with the Logistics staff.
  • Maintain an updated payment tracking system with due dates, payment status, and supporting documentation.
  • Monitor tenancy agreements and contracts with landlords, including tracking contract start and end dates.
  • Provide timely alerts on upcoming payment deadlines and contract expirations.
  • Manage office supplies by tracking inventory, monitoring stock levels, coordinating timely procurement, and ensuring proper receipt, storage, and distribution.
  • Coordinate meeting room arrangements and oversee related logistics, including preparations for meetings and the reception and accommodation of office visitors and guests.
  • Manage all contract arrangements with lessors and ensuring that contractual obligations are adhered to.
  • Maintain organized filing systems (physical and electronic) for administrative documents, including contracts, invoices, and correspondence, Ensure all records are properly updated, accessible, and in compliance with internal procedures.
  • Ensure that DRC staff have Identification cards (ID) with the period of validity in accordance with the employment contract.
  • Perform other relevant tasks as assigned by the Area Manager.

About you

Experience and Education: (include years of experience)

  • University degree in HR Management, Business Administration or equivalent professional qualification
  • Minimum of 1 year of relevant work experience in a similar field within an INGO.

Languages: Fluent in Writing and Speaking

  • Fluency in Arabic
  • Advanced English proficiency
