The International Committee of the Red Cross (ICRC) is an impartial, neutral, and independent organization whose exclusively humanitarian mission is to protect the lives and dignity of victims of armed conflict and other situations of violence and to provide them with assistance. The ICRC is mandated to work in countries affected by armed conflict or other situations of violence. The ICRC is present in over 100 countries and has some 18,000 staff worldwide. In 2014, the ICRC expanded its presence in Ukraine.Currently, we have over 900 team members working across the country in various professional fields.
ABOUT THE JOB
The ICRC Finance and Administration Unit is seeking a highly capable Welcome Assistant to join our team in Kyiv. The Welcome Assistant will ensure that travel activities are organized smoothly, including coordination of pick-up/drop-off of ICRC staff and guests, travel arrangements, visas, permits, official registration and accommodation.

YOUR TASKS AND RESPONSIBILITIES
- Organize pick-up and accommodation (hotel, apartment, house) for staff members and guests
- Organize travel (plane, train, bus, etc.) for colleagues on resident and mobile contracts by the most effective costs/mean and, if required, coordinate drop-off at / pick-up from airports, stations, etc.
- Organize communication flow between the ICRC offices, sub-delegations, delegations and/or headquarters regarding staff travel
- Organize medium and large-sized events/meetings/seminars (more than 15 pax.), in coordination with the parties concerned
- Keep all appropriate databases and files of the staff members, missions and other travel, document validity, residences
- Provide support and clarification to colleagues on mobile contracts at their beginning of mission (BoM) / end of mission (EoM)
- Interact with relevant authorities (Ministries, Consulates, etc.) regarding certificates, visas, permits, registration, etc.
- Coordinate with Finance and Administration Department on finalizing invoices, supporting documents, and payments
- Business cards ordering

ABOUT YOU
To be successful as Welcome Assistant in the Finance and Administration Unit, you should possess the following qualifications and experience and have the following characteristics:
- Ukrainian citizenship or permanent residence permit in Ukraine
- High school or professional school
- 2 years of experience in a similar position
- Professional fluency (written and spoken) in English and Ukrainian
- Computer literate, including good knowledge of Microsoft Office
- Self-motivated with a strong commitment to teamwork and humanitarian principles
- Flexible, enthusiastic, and willing to learn
- Ability to work independently, as well as effectively under supervision
- Ability to organize and prioritize multiple tasks
- Ability to work within a diverse team and establish and maintain good working relations in a multi-ethnic, multi-cultural, and multi-disciplinary environment
