Organizational Context and Scope

En Guinée, l’OIM intervient dans plusieurs domaines, notamment dans l’assistance et la protection des migrants de retour vulnérables ainsi que de leurs communautés d’origine. Cette action vise à réduire la migration irrégulière, qui affecte particulièrement ces populations et les expose à des parcours migratoires dangereux, avec de nombreux risques et conséquences négatives.

C’est dans ce cadre que l’OIM guinée recrute un(e) assistant(e) exécutif de la cheffe de mission. En effet, l’assistant(e) exécutif devra avoir une compréhension extensive de l'organisation, de ses acteurs internes comme externes, ainsi que de ses objectifs et de sa mission.

Responsibilities

  1. Sous la supervision hiérarchique et générale de la Cheffe de Mission (CdM), dans lecadre des activités de la mission de l’OIM en Guinée, l’assistant(e) exécutif seraresponsabledestâchessuivantes:                                                     

  2. Fournirlesoutienadministratifnécessaireaubureaudel’OIMGuinée,permettant à la Cheffe de Mission de tirer le meilleur parti de son temps sur leleadershipstratégique;

  3. Servirdepointdecontactprincipalpourlespartiesprenantesinterneset externessur lesquestions relativesàlamission;

  4. Soutenir la Cheffe de Mission dans la planification inter-organisationnelle, ycompris le suivides initiativesinter-organisationnelles,des rassemblementset des réunions de coordination avec des ordres du jour établis et le suivi desactions;

  5. Aider à garantir le fonctionnement harmonieux et efficace du bureau en tantqueliaisonprincipale,engageretinformertouteslespartiesprenantes,concevoir des systèmes de travail efficaces dans le maintien des calendriers,lapréparationlesréunions,lesuivis,etleclassementdesnotesenconséquence;

  6. Gérer les affaires administratives quotidiennes de la mission, y compris lecalendrier de la cheffe de mission ; la planification de tous les rendez-vous /engagementsetfournirdesrappelspourles principauxsuivis.

  7. Préparerdesprésentations,desnotesd'informationetdesrésumésderéunions pourlemanagement ;

  8. Élaborationdes procès-verbaux desréunionsetsuivides actions;

  9. Organiseretgérerlespréparatifsdevoyage(nationaux etinternationaux);

  10. Servirdeliaisonaveclesdépartements,organisations,bureauxgouvernementauxetautres parties prenantes ;

  11. D'autres tâchesquicorrespondentglobalementauxprincipalescontributions ci-dessustellesqu'attribuées.

Qualifications

Required Qualifications and Experience

Education

  • Être titulaire d’un diplôme universitaire, en relation internationale, communication ou sciencesociales ou diplôme équivalent ;

Accredited Universities are those listed in the UNESCO World Higher Education Database.

Experience

  • Expérience professionnelle documentée.

  • Minimum de 3 ans d’expérience avec succès dans des emplois similaires.

  • Avoir une expérience opérationnelle et sur le terrain des questions liées aux réfugiés et à la migration.

  • Connaissance approfondie des outils électroniques AMADEUS, MIMOSA, I-Gator et SIMA ;

  • Expérience l’organisation logistique des retours des migrants,

  • Expérience dans les questions liées à la migration de réfugiés, l'élaboration de projets et la liaison avec les autorités gouvernementales et diplomatiques ainsi qu'avec les institutions internationales et les ONG.

  • Excellentes compétences rédactionnelles et analytiques

  • Solides compétences interpersonnelles et aptitude à la communication   interculturelle.

  • Capacité de travailler sous pression

  • Savoir interagir avec tous les niveaux de personnel, y compris le personnel des sous -bureaux et de la région.

  • Surmonter les obstacles en utilisant des pratiques éthiques

  • Excellente organisation, souci du détail et contrôle de la qualité, compétences avancées en gestion du temps, capacité à effectuer plusieurs tâches et à établir des priorités dans un environnement en évolution rapide.

  • Avoir une bonne connaissance des procédures administrative locale

  • Connaissance approfondie des outils informatiques (Word, Excel, PowerPoint, SharePoint etc.)

  • Respect du secret professionnel et de garantie de la confidentialité

  • Protection des données du migrant,

Languages

  • Pour tous les candidats, la maîtrise du Français est requise (oral et écrit).

  • Avoir une connaissance en anglais et d’une des langues locales de la Guinée serait un atout.
