The International Potato Center (CIP) is looking for one (1) Program Analyst to provide support administrative process to the Sustainable Farming Program in Nairobi, Kenya.

About the position: This position will assist and support the management of the Sustainable Farming Science Program (SFP) to ensure efficient operations of all aspects of the Program. This position reports to the SFP Senior Coordination and will be based on Nairobi, Kenya.

The CGIAR Sustainable Farming Science Program (SFP) works to deliver integrated science-based farm management solutions that improve productivity, profitability, and climate resilience for smallholder farmers, with women, youth, and vulnerable communities at the center. The Program will address key challenges in agrifood systems by fostering efficient production of nutritious foods and safeguarding the environment to create fair employment opportunities, as we simultaneously tackle climate change, soil degradation, pests, diseases, and desertification. Requirements
Key responsibilities:
• Program Coordination & Planning:
o Coordinate the development and updating of program strategies, workplans, budgets, and other key planning documents.
o Coordinate program activities by tracking deliverables, timelines, and action points to ensure alignment across Areas of Work (AoW).
o Maintain action trackers and support the use of digital tools to enhance coordination, communication, and workflow efficiency, including using AI to improve processes and efficiency
• Monitoring, Reporting & Compliance:
o Monitor the program by tracking progress and maintaining reporting tools and evidence.
o Coordinate the preparation reporting requirements, ensuring accuracy and compliance with CGIAR and donor standards.
o Collaborate with MELIA and program teams to support data collection, reporting, and learning processes.
• Area of Work (AoW) Support & Knowledge Management:
o Facilitate coordination and engagement across AoWs by supporting processes, tools, and collaboration.
o Serve as custodian of program documentation and knowledge management systems.
o Provide administrative and operational support to AoWs Leads as assigned in the following
o Organize AoW level meetings (virtual and in-person), record proceedings and follow up on action points.
o Coordinate annual reporting at AoW level applying the agreed process, procedures and tools as communicated by the MELIA Team.
o Support the AoW leads in the annual planning process as required
o Organize all documentation and material related to the AoW
• Meetings, Events & Documentation:
o Plan and coordinate program meetings, workshops, and events, ensuring smooth execution.
o Document key discussions, decisions, and action points, and follow up on agreed actions.
o Maintain organized and accessible program documentation, including reports, plans, and records.
o Coordinate the program communications and maintain databases of stakeholders, publications, and materials.
• Perform any other work-related duties as may be assigned by the Sustainable Farming Science Program Leadership.
• Comply with national and international health and safety laws, regulations and standards
What are we looking for?
• Bachelor’s degree in business administration, Project Management, International Development or related and/or equivalent
• At least 3- years of experience working in a similar role – supporting program coordination, project management, or administrative functions in a complex organizational environment.
• Familiarity with data tracking, reporting tools or simple dashboards
• Ability to work in diverse teams.
• Must be able to work independently with minimal supervision but also participate as a team member in the accomplishment of duties.
• Strong ability to coordinate, prioritize, and organize workload; take initiative.
• Desirable specializations: AI and technology related process management, MELIA, Project Management will be an asset
• Languages: Advanced written and oral communication skills in English.
• Core Competencies: Accountability, teamwork, integrity, innovation.
