Position Purpose
Under the direct supervision of the Secretary General, the Senior Associate supports the Board of Directors and Board of Governors Communications Unit by facilitating communication and information flows between BSTDB and its governing bodies. The role provides confidential and reliable secretariat support across the full Board and Committee meeting cycle, supporting liaison with Directors’ and Governors’ offices, the preparation and circulation of meeting documentation and correspondence, and the timely, accurate and consistent application of the Bank’s governance processes and deadlines. The Senior Associate works closely with the Principal Associate and Senior management and escalates complex issues to the Secretary General as needed.
Key Functions and Responsibilities
In close collaboration with the Principal Associate and under the direct supervision of the Secretary General, the Senior Associate performs the following duties:
- Support the smooth running of meetings of the Audit Committee, the Board of Directors, the Board of Governors and other Board Committees, as required, including logistical arrangements, preparation of meeting materials and secretariat support during meetings.
- Assist in drafting, compiling and circulating invitations, agendas, minutes, written decisions and resolutions (as appropriate), and in tracking follow-up on commitments and deliverables arising from Board and Committee meetings.
- Assist in reviewing Board and Committee documents prior to submission to help ensure compliance with the Bank’s By-laws, the Boards’ rules of procedure, and applicable internal processes and formatting standards; liaise with Bank staff to collect and compile materials for Board submission.
- Assist in maintaining and archiving Board and Committee records (hard copy, electronic and audio) and support the upkeep of the Bank’s Board archives, including safekeeping of Board members’ Code of Conduct statements.
- Support liaison with Board members and their offices and handle related correspondence and communications, including drafting and responding via the dedicated Board email account.
- Help manage questions and queries from Board offices and support follow-up, as needed.
- Support the dissemination of approved Board information (e.g., decisions and policies) to relevant stakeholders within the Bank.
- Assist in updating Boards’ databases (e.g., nominations, Member State communication channels, contacts and CVs) by preparing and entering information.
- Ensure compliance with the Boards’ rules of procedure and the Bank’s policies, processes and corporate governance framework; keep abreast of developments in corporate governance and engage with peer units in other IFIs to align with best practices.

Required Qualifications
Education
Bachelor’s (first university) degree in Law, International Relations, Public Administration, Business Administration or a related field or a bachelor’s degree in another field combined with a master’s or PhD in one of these areas.
Experience
At least 8 years of experience in roles involving corporate governance, legal advisory or legal support functions, regulatory compliance, institutional coordination, or support to high level decision making bodies, or a combination of these.
Knowledge
Understanding of corporate governance principles, board operations, and institutional decision-making frameworks, particularly within complex, multilayered organizations.
Skills
Language Skills: Excellent command of English, both written and spoken, with advanced drafting skills suitable for high level corporate documentation, including board papers, minutes, resolutions, and policy briefs.
Computer Skills: Excellent working knowledge of Microsoft Office applications (Word, Excel, PowerPoint, Outlook), with the ability to prepare high quality reports, presentations, and analytical documents.
Comfortable working with document management systems, workflow tools, and digital governance platforms.
Strong commitment to high standards of governance, integrity, and confidentiality.
Ability to organize and prioritize a demanding workload efficiently under pressure.
Proactive and self-motivated, with strong teamwork skills in a multicultural environment.
Excellent interpersonal and communication skills.
Desirable Qualifications
Education
Master’s degree in Law, International Relations, Public Administration, Business Administration or a related field.
Experience
Experience in the region of the BSTDB’s operation.
Experience in an international development financial institution.
Knowledge
Sound understanding of the Bank’s mandate and membership.
Skills
Knowledge of a language of a Bank’s Member State.
