The Position:

The Programme Associate supports the  planning and management of UNFPA’s country programme by managing data inputs, providing logistical support, monitoring project implementation and following up on recommendations.

You will report to the  GBV Programme Manager.

Job Purpose:

You will play an instrumental role in facilitating UNFPA’s country programme and GBV programme implementation, supporting planning and management, in the areas of GBV prevention and response and cross-thematic areas such as GBV-SRH integration.

You will apply established systems and procedures and assist in the creation of knowledge by compiling, synthesizing and analyzing relevant information, developing appropriate mechanisms and systems and ensuring compliance with procedures.

You would be responsible for:

  • Facilitates contacts and promotes information sharing/exchange between IPs and Programme staff on the issues related to implementation of GBV intervention and activities. This includes follow up on sharing, documentation and keeping of technical and financial reports, best practices and lessons learnt to inform future programming. 
  • Reviews and processes in collaboration with the Finance Unit, advance requests by IPs and ensures all expenditure are in line with UNFPA polices and procedure and the agreed annual work plan (AWP).
  • Follow up the payments process with the UNFPA Finance Unit to ensure that cheques and transfers are ready and received by IPs in a timely manner. 
  • Ensures proper management of the programme and office filing and archiving systems;  
  • Supporting the evaluation of programme activities, establishing ways to assess achievement and recommending corrective action as required; conducting field visits; participating in review meetings and evaluation missions and preparing regular inputs to status and progress reports.
  • Guiding routine implementation of assigned activities, in coordination with national/local counterparts and programme personnel, coordinating delivery of project inputs; and ensuring participation of national counterparts in training activities and study tours.
  • Providing logistical support to projects by coordinating project related meetings, workshops and events. Training and guiding project personnel and staff on national execution and programme policies and procedures.
  • Supporting advocacy and resource mobilisation efforts of the CO, by assisting with organizing and conducting donor meetings and public information events, including preparing relevant background material for these events.
  • Assisting in implementing knowledge management strategies to capture lessons learned and best practices, sharing these with management for future planning.
  • Identify sources, and gather and compile data and information for the preparation of documents, guidelines, and papers. 
  • Assembling briefing materials and preparing power-point and other presentations for the technical and programme team members.
  • Handling secretarial and administrative work, including but not limited to: creation and follow up of requisitions in Quantum; processing of minor procurement of goods and services; organize, follow up, and provide logistic support on events, workshops, etc.   
  • Perform any other duties as required. 

Qualifications and Experience: 

Education:  

  • Completed Bachelor Degree Education required. 

Knowledge and Experience: 

  • Minimum of 6 years’ of relevant experience particularly in providing general support on information management, research, basic financial and program monitoring; and administration, previous experience in the UN is an advantage; 
  • Knowledge of program and project management processes, especially experience in GBV projects management 
  • Strong interpersonal and organizational skills; 
  • Proficiency in current office software applications and corporate IT systems.

Languages: 

  • Fluency in English and Ukrainian is required. Knowledge of other official UN languages is an asset.
