The Accounting Coordinator is responsible for overseeing and ensuring the accurate and timely processing of accounts payable, fixed assets, and related accounting activities across multiple locations, including Headquarters, Experimental Stations, and CIMMYT Offices. This role involves managing vendor databases, facilitating multi-currency expense allocations, coordinating monthly closings, supporting audit processes, and leading improvements in accounting workflows and internal

controls. The coordinator will also supervise a team, drive ERP system enhancements, and serve as a key liaison with regulatory authorities.

Main duties and responsibilities

• Manage the end-to-end processing of Accounts Payable and Fixed Assets operations, including document review, vendor and fixed asset master data maintenance, invoice processing, purchase order invoicing, petty cash reimbursements, and multi-currency expense allocation.

• Record and maintain fixed asset transactions including acquisitions, disposals, transfers, work-in-progress, and depreciation across Headquarters, Experimental Stations, and CIMMYT Offices.

• Ensures accurate and compliant registration of all accounting operations for the Center.

• Oversee the VAT refund process and maintain regular communication with representatives from the Mexican Ministry of

Treasury.

• Lead annual fixed asset inventory counts at all relevant locations.

• Administer and optimize the ERP system’s Accounts Payablev and Fixed Assets modules.

• Ensure accurate coding of expenditures, streamline workflows, and recommend procedural improvements.

• Coordinate and ensure timely monthly accounting closings, including accruals, reconciliations, KPIs, and financial analysis.

• Support internal and external audits by validating and tracking required information.

• Provides critical financial data supporting institutional reporting, decision-making, and funder compliance.

• Ensure compliance with local and international accounting regulations and standards.

• Develop and implement internal controls, policies, and performance metrics to enhance quality and operational efficiency.

• Supervise, mentor, and develop the Accounting team; provide daily guidance, prioritize tasks, resolve conflicts, and organize relevant training sessions.

• Provide exceptional internal and external customer service by resolving accounting-related inquiries promptly and accurately.

• Act as a subject matter expert during ERP updates and participate in projects to align system functionality with business needs.

• Lead and manage Accounting Unit projects, including the implementation and support of employee expense reporting tools.

• Perform other duties as assigned by the Accounting Manager.

  • Bachelor’s degree in Accounting, Business Administration, Finance, or a related field.
  • Minimum 5 years of relevant accounting experience, including IFRS knowledge and ERP system implementation.
  • Strong customer service orientation and ability to work under pressure, Effective teamwork, leadership, problem-solving, and decisionmaking skills.
  • Self-motivated with strong analytical thinking and a results oriented mindset, and excellent communication and interpersonal skills, with the ability to influence and persuade.
  • Advanced level of English (C1/C2)
  • Experience with ERP systems; knowledge of Microsoft D365 is strongly preferred.
  • Proficient in Microsoft Office applications, particularly Power BI & Excel.
