BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
Armenia has experienced notable economic growth over the past decade; however, food insecurity levels have remained stagnant during the last five years. While improvements have benefited a large share of the population, the most vulnerable groups continue to be left behind, reflecting persistent disparities and uneven territorial development across the country. These challenges underscore the need for strengthened operational capacity within the World Food Programme (WFP) Country Office to ensure that interventions are inclusive, equitable, and responsive to the needs of those most at risk.
To address these operational demands, the Country Office has identified the need for a Business Support Assistant (Country Director’s Assistant). This role will provide critical support to office operations by facilitating coordination between Country Office management and staff, ensuring effective communication, and enhancing organizational efficiency. By serving as a central point of contact and support, the Assistant will contribute to the smooth functioning of the office and reinforce WFP’s ability to deliver on its mandate in Armenia.
ACCOUNTABILITIES/RESPONSIBILITIES:
Under the direct supervision of the Country Director, the Business Support Assistant performs the following duties and responsibilities:
- Facilitate the Country Director’s interaction with various external partners through written, verbal and electronic communication, and through collaborative and proactive relationships with counterparts and colleagues in partner offices; maintain the calendar and schedule meetings; maintain the e-registry of the incoming and outgoing correspondence/documents; Responding to the CO general phone number and addressing all the queries in a proper manner;
- Manage and maintain records and databases, to ensure information is organised and readily available for staff.
- Organize and attend meetings and events, prepare minutes and summaries;
- Follow up with the Country Director’s deadlines and commitments; arrange Country Director’s travel and accommodation;
- Receive, screen, log correspondence, reports and all formal documents and forward to the appropriate officers;
- Maintain and update the CO filing and reference system on the basis of the WFP established procedures;
- Draft moderately complex correspondence and review all outgoing correspondence for composition and style as well as grammatical accuracy, factual correctness, and adequacy of treatment as well as adherence to WFP procedures;
- Proof-read reports, documentation, correspondence, etc., making changes in line with established guidelines where appropriate
- Translate or oversee the translation of official documents to/from Armenian, Russian and English;
- Implementing oral translation for the Country Director and Deputy Country Director, when required;
- Establish and update organisational dashboards, including the Country Office consolidated key events;
- Taking required participation while organizing external and internal events of CO;
- Act as the Security Focal Point for the Country Director’s office, ensuring compliance with WFP’s security protocols.
- Act as Vendor Focal Point;
- Act as Alternate Travel Focal Point.
DELIVERABLES AT THE END OF THE CONTRACT:
- Calendar of Country Director is maintained. All meetings are organized in accurate manner.
- The travel arrangements of Country Director are done according to rules and procedures.
- Calendar of Deputy Country Director is maintained and meetings are well organized.
- Travel arrangements of Deputy Country Director are made on proper manner.
- The CO filing and reference system is properly monitored and updated.
- The CO formal correspondence is properly maintained as per WFP regulations.
- CO dashboards and events calendar is maintained and updated.
