The Internship Programme aims at attracting talented students and graduates who have a specific interest in, or whose studies have covered, areas relevant to IOM programmes and activities. Interns must be between 20 and 36 years old and should have less than two years of relevant working experience. 

 
In general, the Internship Programme aims at attracting talented students and graduates who:

 
a) have a specific interest in, or whose studies have covered, areas relevant to IOM programmes and activities;
b) are holding a scholarship for internship placements in international organizations and/or for whom internship is required to complete their studies; or
c) are sponsored by governmental/non governmental institutions and/or academia to work in specific areas relevant to both IOM and the sponsor.
d) are either enrolled in the final academic year of a first university degree programme (minimum Bachelor’s level or equivalent) or have graduated in the last 12 months.
e) are between 20 and 36 years of age.

 

Background Information

Working under the overall supervision of the National Resource Management Officer (RMO), the intern will support the work of the Resources Management Unit (RMU) with a strong focus on learning administrative, coordination, and basic compliance‑related processes within IOM. 

Responsibilities

  • Working under the overall supervision of the National Resource Management Officer (RMO), the intern will support the work of the Resources Management Unit (RMU). 
     
Learning Objectives
  • Develop an understanding of office administration and internal workflows by supporting postal and correspondence processes, including registration of incoming mail and preparation of outgoing correspondence. 

  • Gain practical experience in front office and coordination tasks by answering the central phone line, accurately recording incoming requests, and forwarding them to the responsible colleagues. 

  • Build skills in mailbox and information management through monitoring the central mailbox, identifying relevant messages, and ensuring timely and accurate internal communication. 

  • Understand internal resource management tools and booking systems by supporting checks related to office management forms, meeting room bookings, seating arrangements, and asset bookings, limited to logistical and checklist-based support only, without access to confidential HR files or systems. 

  • Gain exposure to document management and record-keeping practices by supporting filing activities, tracking contracts, and maintaining oversight of documents handed over to the RMU in line with organizational standards. 

  • Develop an understanding of procurement documentation workflows by supporting file organization and completeness checks against predefined checklists under supervision, with no role in evaluation, decision-making, or approval processes. 

  • Strengthen attention to detail and compliance awareness by assisting with document cross-checks and understanding the importance of accuracy in administrative and financial processes. 

  • Enhance collaboration and communication skills in a multicultural office environment by supporting internal initiatives such as Coffee Roulette and interacting with colleagues across different units. 

  • Optionally, gain exposure to senior management support functions through assisting with calendar management, where applicable. 

  • Gain basic familiarity with financial compliance processes by assisting with the compilation and organization of supporting documentation for RMO review. 

  • Develop an understanding of staff lifecycle administrative processes by supporting onboarding and offboarding activities through logistical and checklist-based assistance only, without access to confidential HR files, in line with data protection principles applicable to interns. 

  • Build familiarity with asset management procedures through assisting with the preparation, tracking, and administrative handling of assets in line with internal guidelines. 

  • Gain additional learning experience by supporting other RMU and cross-unit administrative, coordination, or analytical tasks as assigned by the supervisor, with a focus on professional development and understanding organizational processes.

Qualifications

Required Qualifications and Experience

Education

  • Must, at the time of application, 

    a) be enrolled in the final academic year of a first university degree programme (minimum bachelor’s level or equivalent); or 

    b) be enrolled in a graduate school programme (second university degree or equivalent, or higher); or c) have graduated with a university degree and, if selected, must commence the internship within one year of graduation; 
     

  • Experience
  • Experience with Microsoft Office Suite is an advantage 
  • Some experience in an office environment is preferred
     

Skills

  • shall have excellent interpersonal and communication skills; 

  • shall have ability to work in a fast-paced, team-oriented environment; 

  • Shall have solid organizational skills and attention to detail.
     

Languages

For this internship, fluency in English and Hungarian (oral and written) is required.

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.

Notes

Depending on experience and location, interns are granted a small monthly stipend to help offset costs. Interns benefiting from an internship allowance or scholarship granted by their university or other sponsoring body that includes financial remuneration or credits for coursework will not be eligible for the stipend.

IOM covers Interns against occupational accidents and illnesses under the Compensation Plan (CP), free of charge, for the duration of the internship. IOM does not provide evacuation or medical insurance for reasons related to non-occupational accidents and illnesses. Interns are responsible for their own medical insurance for non-occupational accident or illness and will be required to provide written proof of such coverage before commencing work.
