Organizational Context and Scope
Under the direct supervision of the Senior RMM Associate, and in coordination with the Migrant Protection and Assistance Head of Unit, the incumbent will assist in the implementation of the different projects of the MPA Unit, mainly Assisted Voluntary Return and Reintegration (AVRR) and any other movement management related activity or project, such as Resettlement and Relocation.
Responsibilities
- Receive incoming AVRR applications and registering them in relevant databases, including dispatching to the correct focal points;
- Support the organization and administrative c-ordination of pre-departure formalities for AVRR applications: liaising, as instructed, with Fedasil and relevant referral partners, IOM missions in transit and upon arrival, embassies and consulates for the delivery of travel documents; supporting the preparation of the applicants’ departure packages and assisting with departure arrangements;
- Assist in compiling and verifying project statistics and supporting the preparation of donor reports;
- Provide flight bookings in line with IOM’s internal rules and systems;
- Provide in-person assistance to IOM migrants, departing from Belgium at Brussels Airport using an IOM vehicle, with departure formalities, including check-in, security check and border control, and guide them to the boarding gate. Exceptionally, and when operationally required, assistance may also be provided at another airport in Belgium;
- Assist IOM migrants at designated bus meeting points, including travelling to the meeting locations departing from Belgium, provide them tickets and guide them through the departure formalities;
- Assist with the reimbursement of reinstallation grants, excess luggage, costs related to travel documents, transportation costs, a.o. in the framework of the programme possibilities and eligibility, to migrants departing from Belgium, whenever necessary and as instructed;
- Assist in preparing the necessary cash money in a timely manner;
- Keep a basic financial record of expenditures as instructed by the Resource Management Officer and make sure the balance is correct. Record financial transactions on a daily basis and report them to the Finance unit as per timelines instructed;
- Provide transit assistance to IOM beneficiaries at Brussels Airport, in coordination with IOM colleagues in the departure and arrival countries whenever necessary, and follow up on the incoming transit requests and approvals;
- Assist IOM migrants arriving in Belgium by travelling to Brussels Airport, welcoming them at the arrival gate, assist with border control, luggage collection and customs formalities;
- Report issues encountered during airport duties to the RMM Associate and draft an incident report.
Qualifications
Required Qualifications and Experience
Education
-
Bachelor’s degree in business administration, business management, or a related field from an accredited academic institution with two years of relevant professional experience;
OR
-
High school diploma with four years of relevant professional experience.
Accredited Universities are those listed in the UNESCO World Higher Education Database.
Experience and Skills
- Experience in the area of AVRR;
- Proven working experience in the area of IOM Movement Operations;
- Knowledge of IOM proprietary tools: MiMOSA Web, ATOMS;
- Knowledge of Amadeus Global Distribution System;
- Proven working experience at Brussels Airport;
- Valid EU driving licence (category B) and ability to drive a manual vehicle.
- Strong organizational and time-management skills;
- Good communication and interpersonal skills, applied in a professional environment;
- This position requires working in shifts, meaning irregular working hours.
Languages
All IOM staff members in all categories are required to be fluent in one of the IOM's official languages (English, French, Spanish).
For this position, fluency in English, and French or Dutch is required (oral and written).
Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
