The Role
At Last Mile Health (LMH), we do things differently despite the challenges. Are you a detail-oriented operations professional who enjoys building systems that improve efficiency and compliance across complex, multi-country programs? If so, you may be our next Senior Coordinator, Operations at the Addis Ababa office.
The Senior Operations Coordinator will support the Ethiopia program by ensuring smooth, efficient, and well-coordinated operations across the office and field activities. The role will help ensure that both global and local staff can travel safely, offices remain fully functional and equipped, and vendors and service providers are managed with transparency, accountability, and efficiency.
Working closely with operations, program, and finance teams, the Senior Operations Coordinator will help maximize the value of operational spending while supporting the successful execution of meetings, events, trainings, and conferences. This role is critical to maintaining strong day-to-day operations that enable teams to focus on delivering impact.
This role is based in Addis Ababa, Ethiopia and is open to candidates who are located in and have work authorization in Ethiopia.
What You'll Do
Logistics & Travel Management:
- Coordinate end-to-end domestic and international travel arrangements for staff, consultants, donors, and partners, including flight bookings, accommodation, visas, airport transfers, and ground transportation in compliance with organizational travel policies.
- Facilitate visa applications, travel authorizations, invitation letters, and related documentation to support staff mobility across multiple countries and project locations.
- Lead logistical planning and coordination for trainings, workshops, conferences, stakeholder meetings, field visits, and retreats, including venue sourcing, participant travel, accommodation, catering, and equipment arrangements.
- Coordinate logistics support for field-based health programs, including transportation of personnel, medical supplies, and operational materials to project sites in a timely and cost-effective manner.
- Customs & Shipment Coordination: Manage import processes and customs clearance for medical equipment, program supplies, and organizational assets, ensuring all required documentation is accurate and complete.
- Compliance & Risk Management: Ensure all logistics and travel activities comply with organizational policies, donor regulations, local laws, and international NGO operational standards, with strong attention to safety, safeguarding, and duty of care.
Procurement & Vendor Management
- Support procurement planning and sourcing of goods and services, including office supplies, medical equipment, IT assets, travel services, and consultancy services, in accordance with organizational and donor procurement policies.
- Develop and maintain a database of pre-qualified vendors and service providers, ensuring contracts and Service Delivery Agreements (SDAs) are regularly reviewed and aligned with operational needs.
- Negotiate competitive pricing, favorable contract terms, and quality service delivery with hotels, airlines, transport providers, and other vendors to achieve value for money while maintaining service quality.
- Monitor and evaluate vendor performance based on quality, responsiveness, compliance, cost-effectiveness, and delivery timelines, and recommend corrective actions where necessary.
- Maintain complete and accurate procurement records, including purchase requests, quotations, bid analyses, contracts, purchase orders, and payment documentation to ensure transparency and audit readiness.
Inventory & Office Administration
- Maintain accurate inventory records for office equipment, medical supplies, IT assets, furniture, and other organizational resources, ensuring proper asset tagging and tracking.
- Monitor stock levels and coordinate timely procurement and replenishment of operational and program supplies to avoid disruptions to field and office activities.
- Support day-to-day office administration and ensure a safe, organized, and functional working environment for staff and visitors.
- Project manage and provide close guidance to Operations Support consultant
Financial Coordination & Compliance
- Payment & InvPrepare and process payment requests while ensuring invoices are accurately matched with purchase orders, contracts, and delivery documentation.
- Work closely with Finance teams to support timely vendor payments, travel advance reconciliations, budget tracking, and monthly procurement reporting.
- Maintain organized digital and physical filing systems for procurement, logistics, and travel transactions to support internal controls, donor compliance, and external audits.
- Ensure procurement and logistics activities adhere to donor regulations, financial procedures, and organizational accountability standards applicable to international health and development programs.
What You'll Bring
- Bachelor’s Degree in Public Health, Business Administration, or equivalent work experience.
- Relevant years of professional experience in business operations management, logistics and office management
- Demonstrated experience working in an INGO in Ethiopia on Operations such as procurement, logistics, asset registry, store management and HR Support.
- Ability to work cooperatively and collaboratively with all levels of employees, management, and external stakeholders to maximize performance, creativity, problem-solving, and results.
- Ability to work independently and clearly communicate needs and expectations from team members and management.

- Project management experience or certification
- Ability and experience using Enterprise Resource Planning (ERP) systems

For Ethiopia, the range is $21,823 to $30,553 USD gross per annum, depending on experience doing an equivalent role. Please note that this compensation is subject to statutory taxes.
