The Scope
The Administrative Assistant ensures smooth day-to-day operations for the Policy & Performance Unit (P&P) and the external stakeholders by providing high-level administrative and organizational support. This role involves coordinating daily activities, contributes to efficient workflows, managing communications, maintaining records, and supporting the P&P staff and management in achieving organizational goals.
Main Roles & Responsibilities
- Act as the primary point of contact for providing administrative and organizational support to the Policy & Performance Unit.
- Manage calendars, schedule meetings, and coordinate travel, visa arrangements, and event logistics for team members and stakeholders.
- Prepare meeting agendas, take accurate minutes, and follow up on action items for internal and cross-functional discussions.
- Maintain and organize physical and digital files, records, and documentation to ensure accessibility and accuracy.
- Support budget tracking activities, including processing invoices, expense statements, and preparing financial overviews.
- Assist in the creation of presentations, reports, and dashboards for leadership and key stakeholders.
- Maintain and update databases, project trackers, KPIs, and internal tools such as SharePoint.
- Facilitate effective communication between teams and external partners, ensuring timely information flow.
- Handle confidential information with professionalism while ensuring adherence to organizational policies and procedures.
Your profile
- Bachelor’s degree in Business Administration, Management, or related field (or equivalent experience).
- Minimum 2 years of experience in administrative or executive support roles, preferably in international environments.
- Strong organizational and time-management skills with the ability to prioritize effectively.
- Proactive, detail-oriented, and capable of working independently while collaborating in teams.
- Excellent communication skills with cultural sensitivity in global, multi-stakeholder contexts.
- Service-oriented mindset with a passion for delivering high-quality support and solutions.
- Creative problem-solver who takes initiative and contributes positively to team efforts.
- Proficient in MS Office/MS 365 tools (Word, Excel, Outlook, PowerPoint, SharePoint, Teams).
- Familiarity with project management tools and data visualization platforms (e.g., Power BI; Miro, ClickUp, DocuSign are a plus).
- Fluency in English required; additional languages (Spanish, French, or German) are advantageous, along with multicultural work experience and alignment with FSC values.

The Fine Print
Location: Bonn, Germany.
Working Hours: Full time - 40 hours per week.
Duration of Employment: Temporary contract - 2 years (extension possible, subject to satisfactory performance)
