Organizational Setting and Reporting Relationship
The position of Integrity Assistant is assigned to the Prevention and Compliance Division (AIPD) within the Office of Anticorruption and Integrity (OAI). You will be based at our Headquarters in Manila, Philippines.
You will report to Director, AIPD.
Your Role
As an Integrity Assistant, you will perform a full range of secretarial tasks for designated international staff. This includes coordinating administrative activities for AIPD.
You will:
Communications
- Respond on behalf of AIPD to straightforward and routine communications, and log, distribute, and promptly bring all incoming and outgoing correspondences to the attention of the concerned staff.
- Provide efficient team reception services by screening incoming telephone calls and taking accurate messages. Additionally, handle queries from callers and visitors, and determine the nature and priority of requirements of unexpected visitors to ensure that they are routed promptly to the concerned staff.
Data Management and Operations Support
- Maintain the management information system for the team and collect relevant information to produce routine and ad hoc statistics or reports.
- Draft and circulate to the team the minutes of all meetings.
- Handle administrative requirements for recruiting the team's consultants, processing work orders and IDC requirements, and administering their contracts, including payments and recording the transactions on the budget use monitoring sheet.
- Arrange appointments, meetings, and travel for supervisors as specified by the supervisors and following ADB procedures.
- Be the focal point for Budget, Personnel, and Management Systems Department (BPMSD) due diligence on staff leaving ADB.
- Be the team coordinator for attendance monitoring, work-from-home arrangements, timesheet submissions.
- Maintain stocks of office supplies for the team; coordinate micro-computer inventory, allocation, and requirements, and process eProcurement Purchase Requisitions for the team
Reporting
- Review reports for internal consistency, flow, and logic, and ensure that the formatting conforms to ADB standards; retrieve files and prepare tables and charts for reports.
Coordination and Other Responsibilities
- Be an alternate for Integrity Assistants during their absence, subject to supervisor approval, and perform other tasks as reflected in your work plan.
Qualifications
You will need:
- Bachelor's degree in finance, business administration, public administration, or other fields combined with relevant experience.
- At least 5 years of relevant professional experience.
- Written and verbal proficiency in English.
- Knowledge of ADB standard software programs and information technologies.
- Experience working with individuals from different cultural/national backgrounds.
- Demonstrated experience navigating competing demands with efficiency.
- Demonstrated experience promoting productive and respectful workplace relationships.

Additional Information
This appointment is open to internal and external applicants.
This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
