Tiered Approach

In line with the commitment to safeguard capacity and support personnel already in the Organization, a majority of UNDP UNCDF/UNV vacancies are advertised using a tiered application process whereby:

  • Tier 0: UNDP/UNCDF/UNV IP staff holding permanent (PA) and fixed-term (FTA) appointments, whose posts will be abolished, or contracts will be terminated or not renewed during 2026.
  • Tier 1: Other UNDP/UNCDF/UNV staff holding permanent (PA) and fixed-term (FTA) appointments

Under the guidance and supervision of the Administrative Analyst, the Facilities Maintenance Helper will provides support to operations performing a variety of standard administrative processes, ensuring high quality and accuracy of work, and promotes a client-quality and results-oriented approach.
The Facilities Maintenance Helper works in close collaboration with the Operations and other UN agencies' staff to exchange information and ensure consistent service delivery
 

Duties and Responsibilities

3.    Scope of Work

a.    Provide support to the project team to ensure effective operational strategies and implementation, focusing on the achievement of the following results:
•    Provide basic operational support to the project team, including maintaining maintenance checklists, updating seating arrangements, and reporting issues.
•    Assist in routine coordination for asset management (e.g. asset tagging, physical verification, basic record updates, and support for disposal activities), as well as basic IT-related requests, ensuring adherence to SOPs and UNDP regulatory requirements.

b.    Support the effective and efficient functioning of the Common Premises arrangement, focusing on the achievement of the following results:
•    Provide basic coordination support for parking registration and office renovation requests with building management, on a cost recovery basis. 
•    Assist with routine monitoring and coordination during renovation works, including simple review of technical requirements and supporting handover checks.
•    Provide support for appropriate mechanical or electrical setting, on a cost recovery basis.

c.    Provide Support to effective administrative and logistical support in connection with Common Service/Premises Agencies, focusing on the achievement of the following results:
•    Provide administrative and logistical support to Common Premises agencies, including assistance for VIP residences (as required) and staff access card data entry, on a cost recovery basis.
•    Support implementation of Green Office practices by monitoring and coordinating electricity usage after 07:00 pm.
d.    Supports knowledge building and knowledge sharing, focusing on the achievement of the following results:
•    Participation in the training for the operations/ projects staff.

e.    Avoid any kind of discriminatory behavior, including gender discrimination, and ensure that:
•    Human rights and gender equality are prioritized as an ethical principle within all actions;
•    Activities are designed and implemented in accordance with the “Social and Environmental Standards of UNDP”;
•    Any kind of diversity based on ethnicity, age, sexual orientation, disability, religion, class, or gender is respected within all implementations, including data production;
•    Differentiated needs of women and men are considered;
•    An inclusive approach is reflected within all actions and implementations, in that sense, an enabling and accessible setup in various senses, such as disability, gender language barrier, is created.

The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.

Institutional Arrangement
Under the overall guidance of the Administrative Analyst, the Facilities Maintenance Helper provides project support services, ensuring high-quality work, accurate, timely, and properly recorded/documented service delivery. The organigram in Annex shows the position of this function within the office and unit structure.

Education:

Secondary education is required.

Experience:

•    Experience in administrative support, coordination, and basic correspondence. 
•    Prior experience working with the UN system, UNDP, or similar international organizations.
•    Experience supporting simple coordination tasks across multiple stakeholders/tenants.
•    Basic experience assisting with access systems (e.g. staff access cards) and coordination with security. 
•    Experience in office renovation support and basic coordination with contractors (no assessment role required). 
•    Experience assisting in asset management activities, such as tagging, inventory checks, and disposal support.

Required Language(s)    

•    Fluency in Indonesian and English is required.
