JOB TITLE: Communications Assistant (Events Management)

BACKGROUND AND PURPOSE OF THE ASSIGNMENT
The World Food Programme (WFP), in collaboration with the Global School Meals Coalition (SMC), will support the Government of Rwanda to host a high-level School Meals Coalition meeting in Kigali in October 2026. The meeting will convene senior government officials, development partners, United Nations agencies, civil society organizations, and private sector representatives to advance global commitments on school meals and human capital development.
Given the scale, visibility, and strategic importance of this event, effective planning, coordination, and delivery will be essential to ensure its success. The meeting will require comprehensive logistical arrangements, close coordination with multiple stakeholders, and timely preparation of event materials.
To support these efforts, WFP plans to recruit a Communications Assistant (Events Management) to provide operational, administrative, and logistical support throughout the event cycle before, during, and after the meeting. The Communications Assistant (Events Management) will be based in Kigali and will work closely with the School Feeding team, and the Ministry of Education, under the overall supervision of the WFP Programme Policy Officer responsible for Government Capacity Strengthening, to ensure the smooth implementation and high-quality delivery of the School Meals Coalition meeting.
ACCOUNTABILITIES/RESPONSIBILITIES:
Prepare or consolidate reports, documentation, correspondence, briefing notes, etc. and follow up on recommendations of the local task force team members including Government Ministries, Agencies, and development partners participating in the School Meals Ministerial meeting preparation.
Assist with disseminating official meeting-related communications, notices, invitations, agendas, and follow-up correspondences.
Maintain an updated contact database of Task Force members and invite stakeholders.
Assist participants on logistical and administrative matters related to the meeting like booking accommodation, transport etc.
Support logistical arrangements for the meeting including venue coordination, seating plans, and interpretation services.
Support communication and activities with invitees, local partners, agencies, NGOs and government institutions
Coordinate with internal teams and external service providers to ensure timely delivery of all meeting requirements.
Assist in drafting, preparing and ensuring the availability of meeting materials such as participant lists, name tags, folders, and WFP presentations and briefing materials, etc.
Provide on-site support during the event to ensure smooth execution and address any emerging issues.
Provide general administrative and coordination support to the WFP Rwanda Office and the School Meals Secretariat.
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education & Experience
The candidate should possess 5 years of experience in event planning and coordination, logistics and operations support, partner coordination, hospitality, conference and / or protocol with at least
Bachelor’s degree in Public Administration, Marketing, Project management, International Relations, Development Studies, Political Science, Communications, Event Management, Tourism Management, Social Sciences or a related field.
Skills and Competencies:
Strong written and verbal communication skills.
Good organizational and time management skills.
Ability to manage multiple tasks and meet deadlines.
Strong interpersonal skills and ability to liaise professionally with Government officials and partners.
Languages:
Fluent in English and Kinyarwanda (both oral and written)
