Job Description

Under the overall supervision of the Sr. HR Officer (Workforce Analytics & Reporting) and direct supervision of the JPO (HR Officer (AI and HR Solutions), in collaboration with relevant units at Headquarters, the Global Shared Services Center (GSSC), and Regional and Country Offices, the successful candidate will be responsible and accountable for global HR data extraction and reporting operations.

Responsibilities

  1.  Support in the extract, consolidation and analysis of HR-related data, primarily from the Organization’s Enterprise Resource Planning (ERP) solution; identify and validate additional data sources, as required, to ensure completeness and reliability of reporting outputs.
  2. Liaise with requestors across the Organization to gather and document reporting requirements and deliver tailored reports/dashboards with preliminary interpretation of results.
  3. Support in the periodically review standard operating procedures (SOPs) and reference materials for data extraction, validation and report production to support business continuity and effective
    knowledge management.
  4.  Identify and propose opportunities for reporting and process enhancements; support collection of
    business requirements, translation of business needs into actionable specifications, and user
    acceptance testing (UAT) activities, and document outcomes and recommendations.
  5. Support users with reporting-related incidents and service requests by coordinating troubleshooting with relevant stakeholders.
  6. Promote and support the adoption of self-service reporting solutions (including interactive, cloudbased tools) by providing guidance, templates and troubleshooting to end users.
  7. Suggest tools and solutions to improve reporting efficiency and productivity; support testing technologies that enhance the coordination, dissemination, version control and secure storage of
    reports and statistical staffing data.
  8. Monitor data quality and integrity, identify recurring issues and trends, and escalate cases to
    Operational Compliance for review and support remediation efforts, as required.
  9. Administer assigned distribution lists by maintaining accurate membership records (additions/removals), coordinating periodic access reviews, and processing access-related requests
    through Information Security (InfoSec) channels in line with established controls.
  10. Support in the deliver training sessions for end users on standard reports and dashboards; gather
    feedback and propose improvements to training materials and reporting products.
  11. Suppor the development, update and maintenance of user guides, FAQs and release notes; support
    change communications to enable consistent adoption of reporting tools and new functionalities.
  12.  Perform other related duties as assigned.

Qualifications

EDUCATION

  • University degree from an accredited academic institution, with three (3) years relevant professional
    experience; or,
  • Completed High School degree from an accredited academic institution, with five (5) years of relevant professional experience

Accredited Universities are those listed in the UNESCO World Higher Education Database.

EXPERIENCE

  • Experience in a role requiring data extraction (preferably from an Oracle ERP solution), report preparation and dashboards.
  • Experience with international organizations would be an advantage. 

SKILLS

  • Excellent knowledge of Microsoft Excel. Familiarity with Power BI and similar tools would be an advantage.
  • Experience with with the Microsoft suite of collaboration solutions (e.g., SharePoint, Teams).
  • Demonstrated ability to produce high-quality, detail-oriented outputs with minimum supervision.
  • Analytic, with attention to details, critical thinking, self-learner, and ability to organize work in a
    methodical way.
  • Discreet, clients-oriented, creative, with initiative and willingness to learn new things.
  • Excellent writing and communications skills.
