The Danish Refugee Council (DRC), one of the world’s leading NGOs, with a focus on responding to displacement, have been registered in Sudan since 2004, delivering life-saving programming in protection, emergency response, shelter, food security and livelihoods, disaster risk reduction, camp management, and humanitarian mine action. DRC has implemented projects in Central Darfur, South Kordofan, Gedaref, Port Sudan, and White Nile. Sudan hosts one of the largest displaced populations in Africa, with over 3.7 million internally displaced people and over 1.1 million refugees from South Sudan, Ethiopia, Eritrea, Central African Republic, Chad, Yemen and Syria. Against a background of political crisis, Sudan faces economic and social turmoil, with sharp increases in food and energy costs, further exacerbated by disease outbreaks and ongoing conflict.
POSITION PROFILE
This role has an area focus and ensures that the programme office operates smoothly and in compliance with DRC procedures and guidelines within the country. The role is significant in making sure that DRC programme staff are supported and guided during project implementation, which are translated into action plans and day-to-day tasks.
DUTIES & RESPONSIBILITIES
- Provide logistical and Supply chain (SC) support to HMA team, training participants and trainers.
- With the support of the supply chain officer, ensure Venue rental for HMA trainings and events, including refreshments.
- Timely Preparation of (HMA) training materials, printing, stationary.
- Support and coordinate the transport of participants, trainers to and from the training venue.
- Coordination of participants, registration of participants, queries of participants, etc.
- Initiate procurement requests and coordinate with the SC team accordingly, including the Execute market assessments as required.
- Submit Low Value Orders and Correctly use DRC Dynamics functionalities in area of concern.
- Ensure that all orders are tracked from point of planning and request through to final receipt.
- Participate in bid evaluations, ensuring transparency and proper documentation.
- Prepare procurement documents for goods and services in compliance with DRC guidelines.

Liaison Support
- Participate in establishing networks between DRC and central authorities in close coordination with the Liaison & Safety Officer when needed.
- Follow up and support the HMA team on the internal preparation for monthly permits submission in close coordination with Liaison & Safety Officer.
Administration:
- Perform administrative tasks related to document management; including printing, coordinating signatures, scanning, and archiving.
- Support the Premises management including transportation, book accommodation for DRC staff when needed.
- Coordinate practicalities related to events, meetings, and trainings.
- Monitor the stock level of office supplies and stationery and prepare replenishment orders.
- Support with DRC Guesthouse management including occupation planner, supplies, and maintenance.
- Ensure close coordination and maintain excellent working relationships with local authorities and relevant external stakeholders.
- Sort with coordination of the daily activities of small teams, often comprised of subordinates, cooks/cleaners and/or employees carrying out similar tasks.
Does not have direct line management responsibility for staff, but may contribute to recruitment and/or performance appraisal of members of the team.
SKILLS AND EXPERIENCES
- Minimum 1 year of relevant work experience
- Knowledge of procurement procedures of INGOs
- Advanced English proficiency
- Existing knowledge in the HMA sector
- Existing experience with organizing trainings
