The Role

If so, you may be our next Executive Assistant in the Accra, Ghana office. 

The Executive Assistant provides high-level administrative, operational, and strategic support to three senior leaders at Last Mile Health: the President & Chief Program Officer, the Deputy Chief Program Officer, and the Managing Director, Partnerships and Communications. The role is responsible for managing complex schedules, coordinating priorities, and ensuring leaders are equipped to focus their time on organizational strategy, decision-making, and impact.

Working across a global organization, the Executive Assistant serves as a key partner in maintaining operational cohesion across teams, functions, and time zones. The role coordinates meetings, travel, communications, and special projects while anticipating needs, solving problems proactively, and supporting the efficient execution of priorities across the executive office.

This position is a 24-month Fixed-term role with the potential of renewal. This role is only open to candidates who are currently located and authorized to work in Ghana. This role is hybrid and located in Accra, Ghana

What You'll Do

Strategic Calendar & Meeting Management for all three principals

  • Manage scheduling for internal and external meetings for all three principals. Lead the deconfliction of calendars for the three principals, prioritizing high-value engagements.
  • Proactively manage "work blocks" for technical reviews, approvals, writing and planning.
  • Ensure agendas are prepared, coordinate pre-reads, and track follow-up items and action points across internal and external meetings.
  • Maintain shared task trackers for each of the principals, assisting them in monitoring ongoing deliverables and performance against quarterly milestones.

Global Travel & Logistics

  • Coordinate complex travel to program countries (Liberia, Ethiopia, Malawi, Sierra Leone) and international events (Skoll World Forum, World Health Assembly, UNGA).
  • Support all aspects of travel, including developing scopes of work, flight booking, visa applications, airport transfers, and lodging.
  • Ensure all travel-related documentation (e.g., invitation letters) is organized and on file for visa applications and safety and security needs.

Financial & Administrative Support

  • Manage receipt collections and process monthly credit card reconciliations and other expenses. 
  • Manage per diem calculations and receipt collections and submit reimbursement requests for business trips.
  • Work with the operational services team to coordinate and support team retreats for Program Strategy and Performance (PSP) and Partnership and Communication (P&C) teams.

Executive Communication & Workflow Management for President and Chief Program Officer

  • Systematically sort high-volume email traffic into priority action categories (e.g., "messages to reply to," "tasks," "delegated").
  • Draft professional outreach and responses for external partners, including donor stewardship and peer organizations.
  • Utilize Google Tasks or similar tools to assign and monitor the completion of administrative and technical reviews for the President and Chief Program Officer.

What You'll Bring

  • Bachelor’s Degree in Public Health, Business Administration, or equivalent work experience.
  • Progressive years of experience supporting C-suite executives, ideally in a multi-country NGO or international development context.
  • Ability to proactively meet the high level of customer/client service needs for principals and external stakeholders. 
  • Mastery of Google Workspace (Gmail, Calendar, Tasks, Drive, Slides) is critical to drive efficiency across remote and in-person teams.
  • Demonstrated ability to manage and coordinate calendars and meeting preparations for principals and external stakeholders across key time zones, including GMT, East African Time, and US Eastern Time. 
  • Diplomatic and appropriately urgent communication style to act as a reliable intermediary between busy stakeholders. 
  • Ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Demonstrated proactive approaches to problem-solving. 
  • Ability to write on behalf of, and sometimes in the voice of, the principals.  
  • Demonstrated ability to manage highly sensitive information, including personnel decisions and internal investigations.

The Band for this position: GHA-2

For Ghana, the range is $21,823 to $30,553USD per annum, depending on experience doing an equivalent role. Please note that this compensation is subject to statutory taxes.
