Role Overview 

The ICPA Event Coordinator is responsible for supporting the planning, coordination, and delivery of ICPA’s international conferences, workshops, webinars, and other events, while providing day-to-day administrative and operational support across the Executive Team. The Sponsorship and Event Coordinator reports to the Events Manager, ICPA, and Executive Director, ICPA.

Responsibilities:

Event Coordination

  • Coordinate and support the delivery of ICPA’s international conferences, workshops, webinars, and other events, working closely with the Events Manager and broader Executive Team.
  • Manage ICPA’s online event calendar to ensure accurate and up-to-date information on all ICPA events.
  • Support conference-related communications, including liaison with speakers, attendees, vendors, and service providers.
  • Support the delivery of ICPA’s Call for Papers and Awards systems.
  • Support the coordination of event logistics, including venue liaison, supplier management, catering, accommodation tracking, travel coordination, virtual platform management, and preparation of event materials.
  • Support the successful on-site delivery of ICPA conferences and events, including coordinating and delegating tasks to volunteers, and other team members as required.
  • Lead on the clean-up of registration data in accordance with ICPA’s event management processes
  • Generate event reports and registration insights to support evaluation, planning, and continuous improvement activities.
  • Support sponsorship and exhibition processes, including prospecting, sponsor liaison, negotiations, contract administration, and the delivery of agreed sponsor benefits.
  • Support the development of sponsorship prospectuses, sponsor agreements, Conference Benefits Checklists (CBCs), and related documentation in consultation with the Events Manager Partnerships and Growth Manager, and Executive Team.

Administration and Team Support 

  • Perform a range of administrative tasks to support the effective operation of the Association, including stakeholder correspondence, virtual office organization, document management, and finance-related administrative tasks.
  • Support the maintenance and effective use of centralized systems, databases, and online platforms.
  • Provide support regarding basic photo editing (e.g., retouching and resizing) and video editing (e.g., trimming, formatting, and adding text/effects) to support event promotion and communications activities.
  • Contribute to the structured archiving and management of materials and records relating to past, current, and future events.
  • Provide general administrative and operational support to the Executive Director, Events Manager, and broader team as required.
  • Manage communication with Board members relating to conference and meeting travel.
  • Undertake other duties and project support activities as directed.

Qualifications and Skills: 

Qualifications, Skills, and Experience

  • Demonstrated experience in event planning and administration.
  • Strong organizational and time management skills, with the ability to manage multiple projects, deadlines, and competing priorities simultaneously.
  • Excellent written and verbal communication skills, with strong interpersonal and customer service capabilities.
  • Experience coordinating logistics for events, conferences, webinars, meetings, or similar activities.
  • Experience liaising with speakers, sponsors, exhibitors, vendors, service providers, or external stakeholders is advantageous.
  • Ability to communicate professionally and respectfully across diverse cultural and international contexts.
  • Strong attention to detail and ability to maintain accurate records, databases, reports, and documentation.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams, and confidence learning new software and online platforms.
  • Familiarity with CRM systems, membership databases, registration systems, or event management platforms is beneficial.
  • Relevant qualifications in Event Management, Business, Marketing, Communication, or a similar field are advantageous.
  • Basic proficiency in photo editing, graphic design, and video editing is desirable.

Other: 

  • Fluency in written and verbal English is essential. Additional language skills are advantageous.
  • Familiarity with the corrections and prisons field, criminal justice, or related sectors is desirable.
  • Self-motivated and able to work independently, as well as collaboratively, within a remote working environment.
