Our Human Resources Department delivers high-quality HR services to EMBL’s international community across six sites in Europe. We are looking for a proactive and service-oriented professional who is eager to build their experience in talent acquisition and contribute to an exceptional candidate and hiring manager experience in a dynamic, multicultural environment of an intergovermental research organisation.

Our Talent Acquisition team is based across Heidelberg (Germany) and Hinxton (United Kingdom) and supports more than 2,000 employees across EMBL’s six locations. Based at our campus in Heidelberg, you will join a team of Head of Talent Acquisition, four Talent Acquisition Partners, and one Administrator.

Your role

As Talent Acquisition Administrator, you will work closely with the Talent Acquisition team to support the end-to-end recruitment process for approximately 350 hires annually. You will play a key role in ensuring a seamless and engaging recruitment experience for candidates and hiring teams, while helping to drive efficient, modern recruitment practices across EMBL.

Key responsibilities

  • Manage and maintain job requisitions and candidate records in our recruitment platform (Workday)

  • Support vacancy announcements across relevant channels, including social media

  • Coordinate remote and onsite interviews, with opportunities to participate in selection activities

  • Collaborate with hiring managers and interview panels to organise interview schedules and logistics

  • Act as a key point of contact for candidates, ensuring a professional and positive candidate experience throughout the recruitment process.

  • Arrange candidate travel and accommodation when required

  • Manage recruitment-related correspondence and respond to candidate and stakeholder enquiries

  • Prepare reports and support talent acquisition projects and process improvements

  • Perform administrative activities related to recruitment, including invoice processing and travel expense administration

You have

  • Relevant education and training in the area of HR administration and/or talent acquisition, combined with first working experience in HR

  • Proactive approach and strong customer orientation to provide a quality service for staff at all levels

  • Very good analytical and evaluative skills

  • Ability to work effectively with people of different national and cultural backgrounds

  • Very good organizational and communication skills

  • Reliability and flexibility

  • Ability to plan and prioritize your own work programme

  • Proficiency in digital productivity and online collaboration tools is required

  • Professional command of English

You might also have

  • Previous relevant work experience, ideally gained from an international environment is advantageous

  • A good working knowledge of German, French and/or Spanish or Italian

  • Familiarity with ATS systems


Contract duration: Limited to 2 years

Salary: Grade 3 (monthly salary from 3.434 EUR after tax, excl. EMBL pension and health insurance contributions of 13%, plus other paid benefits)
