Purpose of the Job

The Assistant Analyst, Talent Acquisition supports the Associate Director, Head of Talent Acquisition, and three Principal Talent Acquisition Specialists in the effective delivery of senior and complex recruitment processes across the Bank.

The role is primarily focused on the coordination, administration, and smooth execution of interview and selection activities, ensuring that all required information, documentation, and stakeholder inputs are obtained, prepared, and circulated in a timely and accurate manner.

Acting as a central point of coordination, the Assistant Analyst ensures a high-quality, consistent, and professional recruitment experience for senior stakeholders, candidates, and external partners, while maintaining strong process governance and confidentiality.

The role works closely with HR colleagues, hiring teams, and external providers to deliver efficient and well-managed hiring processes, contributing to the overall effectiveness of Talent Acquisition in supporting the Bank’s objectives.

In addition, the Assistant Analyst contributes to the continuous improvement of recruitment processes, systems, and data management, helping to enhance efficiency, accuracy, and the overall candidate and stakeholder experience.

Accountabilities and Responsibilities 

  • Coordinate end-to-end senior recruitment processes across the Bank, ensuring all required information, documentation, and approvals are obtained and circulated accurately and in a timely manner.
  • Act as a key point of contact for senior stakeholders, candidates, and external partners, ensuring a seamless and professional recruitment experience throughout.
  • Lead the scheduling and coordination of interviews, managing complex diaries across multiple time zones and senior stakeholders.
  • Oversee all logistics for interviews and selection panels, including room bookings, catering, IT/AV setup, and welcoming and escorting candidates where required.
  • Prepare and distribute interview and panel materials (e.g. panel packs, case studies, competency frameworks), ensuring accuracy, confidentiality, and consistency.
  • Manage the Talent Acquisition inbox, responding to queries from internal and external stakeholders with a strong understanding of policies, processes, and service standards.
  • Administer the employee referral scheme, including eligibility checks, guidance to employees, and coordination with HR teams to ensure timely and accurate payments.
  • Troubleshoot and resolve issues within recruitment systems (e.g. SuccessFactors), liaising with HRIS and system owners to ensure minimal disruption to hiring processes.
  • Coordinate the processing of candidate expense claims, ensuring compliance with policy and timely reimbursement.
  • Support recruitment events and initiatives, including managing promotional materials, stock levels, and coordinating logistics with internal teams and external suppliers.
  • Prepare, review, and maintain recruitment data, ensuring accuracy and integrity across systems; support reporting, track pipelines, and provide insights to inform decision-making and improve hiring outcomes.
  • Drive continuous improvement of recruitment processes, identifying inefficiencies, proposing enhancements, and contributing to the optimisation of systems, workflows, reporting, and candidate experience.
  • Maintain high standards of data accuracy, confidentiality, and process governance, particularly when supporting senior and sensitive hiring processes.

Knowledge, Skills, Experience and Qualifications

  • Proven experience in Talent Acquisition administration, with significant exposure to supporting senior and executive-level recruitment processes in a complex organisation.
  • Experience working within a matrixed, international environment, with the ability to navigate multiple stakeholders and priorities effectively.
  • Strong organisational skills with a solution-oriented mindset; able to manage high volumes of activity, prioritise effectively, and deliver under pressure.
  • Demonstrated ability to coordinate senior hiring processes end-to-end, ensuring a high-quality candidate and stakeholder experience.
  • Excellent stakeholder management and customer service skills, with confidence engaging senior leaders, candidates, and cross-functional teams.
  • High level of attention to detail, particularly when handling sensitive or confidential recruitment processes.
  • Ability to work independently, showing initiative and sound judgement to proactively resolve issues and drive processes forward.
  • Strong numerical literacy and ability to manage data accurately (e.g. reporting, tracking pipelines, and processes).
  • Excellent written and verbal communication skills in English.
  • Proficiency in Microsoft Office applications (Outlook, Excel, Word, PowerPoint).
  • Comfortable working across multiple systems and tools (Success Factors, SAP, Concur)
