Organizational Context and Scope
Under the overall supervision of the Resources Management Officer and the direct supervision of the Senior Finance Associate, and in coordination with relevant units, the Finance Assistant will provide support to the finance and administrative functions related to resources management in Juba.
Responsibilities
Assist in processing of Travel Expense Claims (TECby checking completeness of supporting documents and accuracy of the claim in accordance with IOM Travel Rules and regulations.
Maintain the filing system and proper custody and tracking of finance documents i.e., vouchers, cash certificates, general correspondences, etc.
Provide basic information to staff in financial-related queries, referring more complex issues to the supervisor.
Bring to the attention of the Supervisor/RMO any issues or discrepancies identified during processing of routine tasks.
Maintain petty cash records and assist with timely preparation of replenishment requests.
Prepare standard petty cash summaries and supporting documentation for review by the supervisor.
Support data entry and perform basic checks on financial documents to ensure completeness of required information.
Assist in providing supporting documentation for audits and reviews
Check that invoices and vouchers have required approvals before processing.
Provide logistical and administrative support to finance-related meetings and workshops.
Record and update petty cash transactions in line with established instructions.
Assist in the preparation of petty cash counts and certificates at the end of each month.
Perform other relevant duties as may be assigned.
Qualifications
Required Qualifications and Experience
Education
- Bachelor’s degree in business administration, Accounting, Finances, or related fields from an accredited academic institution with one year of relevant professional experience; or
- High School diploma with three years of relevant experience.
Accredited Universities are those listed in the UNESCO World Higher Education Database.
Experience
- Experience in administrative, financial and accounting matters, cash management;
- Previous experience in SAP & Oracle is a distinct advantage; and
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
Skills
- Knowledge of financial rules and regulations;
- Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook;
- Attention to detail, ability to organize paperwork in a methodical way; and
- Discreet, details and clients-oriented, patient and willingness to learn new things.
Languages
All IOM staff members in all categories are required to be fluent in one of the IOM's official languages (English, French, Spanish).
For this position, fluency in English is required (oral and written).
Desirable
Working knowledge of Arabic.
Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
