CIMMYT is seeking a proactive, detail-oriented, and service-focused professional to coordinate driver operations and fleet maintenance and repairs activities. This role is responsible for supervising drivers, ensuring safe and efficient transportation services, and planning, coordinating, and tracking preventive maintenance and repairs for fleet vehicles and buses. The position ensures that fleet operations are safe, compliant, cost-effective, and reliable, while serving as a key link between operations, vendors, and management.
Key Responsibilities
Driver & Operations Coordination
Supervise and manage a team of drivers, ensuring compliance with assigned routes, schedules, service standards, and safety regulations.
Control and monitor fuel expenses and fuel efficiency for driver-operated vehicles. Supervise toll expenses and monitor and control expenditures related to travel allowances and per diem expenses.
Implement route optimization methodologies to improve efficiency and reduce operational costs.
Supervise and ensure a balance between overtime hours and the drivers’ quality of life.
Establish, monitor, and report key performance indicators (KPIs) for drivers and fleet operations.
Develop and implement training and continuous development plans for drivers.
Manage driver schedules, performance, documentation, and customer service standards.
Act as liaison between operations, management, and stakeholders, providing regular reports and improvement proposals.
Fleet Maintenance & Asset Management
- Plan, coordinate, and perform preventive maintenance and repair activities for fleet vehicles and buses.
- Monitor vehicle inspections, breakdowns, and repair timelines to minimize downtime.
- Maintain the spare parts inventory registered through a parts catalog, which will be managed jointly with the warehouse team.
- Coordinate maintenance activities with internal technicians and external service providers.
- Maintain accurate maintenance records, service histories, warranties, and compliance documentation.
- Ensure fleet maintenance complies with safety standards, traffic regulations, and institutional policies.
- Review repair estimates, invoices, and warranty claims for accuracy.
- Track maintenance and operational costs and support cost-reduction initiatives.
- Support accident, breakdown, roadside assistance, and emergency response coordination.
- Assist with spare parts ordering, inventory tracking, and warranty recovery.
Administration & Reporting
- Control and report fleet operational expenses, maintenance costs, and customer billing.
- Generate, supervise, and validate drivers’ overtime, ensuring the proper application and compliance with work schedules and working hours.
Maintain administrative and operational documentation for vehicles and drivers.
Use fleet management systems and technological tools to support reporting, inspections, cleaning, and asset control.
Requirements
- Bachelor’s degree in Logistics, Administration, Transportation, Engineering, or a related field (preferred).
- Minimum 5 years of experience in fleet operations, driver supervision, and/or fleet maintenance coordination.
- Bilingual in Spanish and English (minimum B2 level).
- Strong leadership, decision-making, and problem-solving skills.
- Working knowledge of vehicle maintenance, preventive maintenance programs, and fleet operations.
- Proficiency with fleet management systems, ERP and technological tools.
- Advanced Excel and data analysis skills.
- Knowledge of transportation regulations, road safety, and compliance requirements.
- Ability to manage vendors, negotiate services, and resolve conflicts.
- Experience working in a multicultural and international environment.
