Job Summary:

The Finance Assistant provides administrative and accounting support to the Finance Department, including data entry, voucher preparation, filing, cash and bank support, and assistance with payroll and audits. The role works closely with program and operations staff to ensure timely and compliant financial processes.

Duties & Responsibilities of the Job:

Specific Duties:

  • Support the Finance Officer in daily accounting and finance operations.
  • Assist in the implementation and adherence to IRC finance policies and procedures.
  • Ensure compliance with IRC financial guidelines and internal controls.
  • Review payment documents for completeness and proper supporting documentation before submission.
  • Assist in providing supporting documentation during audits and finance reviews.

Data Entry / Accounting Records:

 

  • Enter approved transactions into the accounting system (Integra or other ERP).
  • Maintain organized and accurate financial files (physical and electronic).
  • Support maintenance of subsidiary ledgers for advances, receivables, and payables.
  • Verify accuracy and completeness of accounting documents and vouchers.
  • Assist in daily, weekly, and monthly financial filing and backups as required.

Cash Operations & Voucher Preparation:

 

  • Prepare payment and receipt vouchers in accordance with IRC procedures.
  • Support cash disbursements while ensuring compliance with internal controls.
  • Assist in maintaining the cashbook and petty cash records.
  • Report any discrepancies immediately to the Finance Officer or Finance Manager.
  • Support efforts to minimize cash transactions where possible.

Payroll and Taxes (Support Role):

 

  • Assist with payroll documentation and filing for national staff payroll.
  • Support the review of payroll calculations prepared by HR and the Finance Officer.
  • Assist in preparing documentation for tax payments and statutory deductions.
  • File payroll and tax-related records systematically.

Bank Operations (Support Role):

 

  • Assist with bank visits, cash withdrawals, and document submission as delegated.
  • Support collection and filing of monthly bank statements.
  • Assist in the preparation of bank reconciliation documentation.

Other Responsibilities:

 

  • Support the Finance Officer during internal and external audits.
  • Assist in donor and internal financial reporting preparation.
  • Provide basic finance guidance to program staff when required.
  • Support review of Purchase Requests (PRs) and Purchase Orders (POs) for coding accuracy.
  • Liaise with Supply Chain, Administration, and Program teams on routine finance matters.

Required Qualifications, Experience & Skills:

 

  • Diploma or bachelor’s degree in accounting, Finance, or a related field from a recognized institution.
  • Minimum of 1–2 years of relevant finance or accounting experience.
  • Proficiency in MS Excel and MS Office; knowledge of accounting systems/ERP is an advantage.
  • Previous experience with International NGOs is desirable.
  • Basic understanding of accounting principles and financial controls.
  • Good communication skills in English and Arabic.
  • Strong organizational skills and attention to detail.
  • Ability to work under pressure and meet deadlines.

The Finance Assistant must ensure strict confidentiality of all IRC financial, operational, and organizational information obtained in the course of duty, except where disclosure is authorized and required for official purposes.
