Job Description
Under the overall supervision of the Chief of Mission (CoM) and the direct supervision of the Senior Programme Coordinator, the Senior Information Management Associate will support the development and coordination of mission-wide Information Management (IM) governance frameworks, systems, and standards.
The incumbent will serve as a senior technical focal point for IM across the mission, supporting alignment between institutional policies, programme needs, and donor requirements.
The role will support the integration, standardization and secure management of data systems across IOM Poland, while providing technical inputs to senior management and programme teams on IM strategy, system architecture and operational optimization, under the guidance of the Senior Programme Coordinator.
The incumbent will also support operational IM delivery in selected programme areas, providing technical guidance and oversight to promote coherence between mission-level IM frameworks and programme-level implementation.
Responsibilities
- Support the design, implementation and continuous improvement of mission-wide IM systems and governance frameworks.
- Contribute to the development and application of data standards, architectures and interoperability approaches across programmes.
- Serve as a senior technical focal point on IM, providing technical guidance and inputs to senior management and programme teams.
- Support the integration of IM systems to enhance programme delivery, donor reporting and accountability.
- Contribute to the establishment and monitoring of data quality assurance and validation mechanisms.
- Promote compliance with IOM Data Protection Principles and GDPR requirements, supporting risk mitigation measures.
- Support the development of IM tools (e.g. databases, dashboards, automation solutions).
- Contribute to analytical outputs to support evidence-based decision-making.
- Support the development and institutionalization of IM SOPs and guidance documents.
- Design and deliver capacity-building initiatives to strengthen IM practices among staff.
- Participate in internal and external coordination mechanisms related to IM Identify opportunities to contribute to innovation, digital transformation, and efficiency improvements, including through the use of Artificial Intelligence (AI) tools.
- Provide technical guidance and functional support to IM focal points across programmes.
Qualifications
EDUCATION
- High School diploma with seven years of relevant experience; or,
- Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with five years of relevant professional experience.
EXPERIENCE
- Demonstrated experience in coordinating or supporting IM systems across multiple programmes or organisational units
- Experience in database development, data analysis and visualization
- Experience providing technical guidance to non-technical stakeholders
- Experience contributing to data governance frameworks, SOPs, and compliance mechanisms
- Experience working with data protection standards and regulatory frameworks (e.g. GDPR)
LANGUAGES
IOM’s official languages are English, French, and Spanish.
REQUIRED
For this position, fluency in English is required (oral and written).
DESIRABLE
Working knowledge of Polish.
