1. Background

 As part of the closure process of the Tunisia office, all physical documentation must be reviewed, scanned, and archived electronically to ensure proper record retention, accessibility and compliance with organizational policies.

Given the significant volume of documentation accumulated over the years and the limited timeframe available to complete the office closure activities, temporary support is required. The HR and Operations teams remain engaged in ongoing close-out responsibilities, and the intern will help ensure timely digitization, organization and archiving of office records while maintaining documentation standards.

2. Objectives

The HR Intern – Archivist will play a vital role in supporting the human resources team by organizing, digitizing, and managing employee records in compliance with IRC ’s data protection policies. This includes proper labeling, categorization, updating databases, responding to document requests, and performing regular audits of archived information. The intern will also assist in administrative and clerical tasks to support HR operations.

3. Required competencies

  • Basic computer literacy and proficiency in Microsoft Office applications.
  • Ability to use scanning equipment and manage electronic files.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential information with discretion and professionalism.
  • Ability to work collaboratively, take instructions, and seek clarification when needed.

4. Key Responsibilities

  • Assist in archiving HR documents and employee records in compliance with IRC policies and legal requirements.
  • Digitize physical HR files and upload them to the document management system.
  • Ensure accurate labelling, categorization and indexing of files for easy retrieval.
  • Support in maintaining confidentiality and security of personnel files and sensitive information.
  • Help update and maintain the HR database and file tracking systems.
  • Conduct periodic audits of archived documents to ensure completeness and accuracy.
  • Provide support in responding to internal document retrieval requests.
  • Collaborate with the HR team to streamline filing and recordkeeping processes.
  • Perform other administrative and clerical tasks as assigned.

5. Conditions

  • Work for 8 hours a day from 9:00 – 17:00 Monday to Friday.
  • Accuracy and flexibility are required in timing.

6. Duration of work: 3 Months

7. Expected Deliverables

  • Physical office documents reviewed and prepared for archiving.
  • All assigned documents scanned and saved electronically.
  • Electronic files properly named and organized within the designated folder structure.
  • Progress tracker updated regularly throughout the assignment.
  • Completion of the digitization and archiving activities assigned during the internship period.
