Senior Financial Administrator

Perpetuum Mobile (PM) which operates Artists at Risk (AR) / Ecologists at Risk (ER)
Perpetuum Mobile (PM) is hiring a Financial Administrator with extensive experience.
The position of Financial Administrator plays a central role in the organisation, working closely with the Co-Directors and other members of the PM-Secretariat and our chartered accountant. This position coordinates multiple grants from municipalities, government ministries, national networks, international organisations, arts councils, private foundations, as well as funds from donations and fundraisers. Some of the grants are for networks which involve several partner-institutions. Financial reporting to funders and budgeting projects (grant administration), as well as internal accounting for the whole organisation is done in close cooperation with the external accounting office as well as auditors.
Your Responsibilities:

Financial management of grants and other forms of income (from the EU, the Nordic Council of Ministers, private foundations, ministries, UNESCO, Goethe Institute, for example)

Financial reporting to donors

Coordinating network grants with donors and partner institutions

Budgeting as part of fundraising

Overseeing and documenting payments and expenditures

Internal accounting for the whole organisation in close cooperation with the external accounting office and auditors
Job Requirements:

Strong experience in grant management and financial administration.

Extensive experience with relevant software (i.e., Google Suite, particularly Google Sheets/Excel). PM furthermore employs several online software solutions and security measures, and you should be adept at the use and learning of new IT systems.

Fluency in spoken and written English.

Independent thinking and close attention to detail are a must.

The ability to perform well under pressure in a fast-paced environment.

Interest, indeed, enthusiasm in contributing to building and developing a steadily-growing international network-institution, with dozens of partnerships around the world. Experience in guiding a team on financial matters is a plus.

Willingness to work across several funding, taxation and legal jurisdictions and enthusiasm to learn as you go.

Knowledge of the Finnish language is a plus, but not a necessity.

Additional language skills are a plus.

Experience in the fields of the arts and/or human rights is not required.
Location: Online (anywhere, although time-zone differences play a role). Stable internet and own home-office equipment required. Shared PM office facilities are in Lapinlahti, Helsinki.
Job hours: 50% full-time or more, depending on the agreement.

Perpetuum Mobile (PM) is an international NGO at the intersection of the arts, human rights, curatorial practice and inquiry. Co-founded by Marita Muukkonen and Ivor Stodolsky (mentioned in alternating order) in 2007, PM acts as a conduit and engine to re-imagine practical, historical and theoretical paradigms in fields which often exist in disparate institutional frames and territories.
PM has worked extensively in the Nordic, European and global field. It initiates, develops and curates long-term platforms such as Artists at Risk (AR) / Ecologists at Risk (AR). AR/ER has become known as the “go-to” institution for artists and cultural professionals at risk. Since 2013, AR has relocated and funded over 1,100 artists and cultural professionals (principals, not counting family and dependents) at over 330 partner institutions globally. The Helsinki-based AR/ER-Secretariat coordinates the online office of the global team. PM also runs curatorial projects such as EU-projects, the Artists at Risk Pavilion or The Arts Assembly. Many PM-initiatives have grown into platforms with their own practices, residencies, small and large exhibitions, public art, forms of resilience, training and healing, conferences, festivals, publications, films and innovative formats.
