Mission and objectives
UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security. Context
This assignment is part of a UNV-funded initiative designed to bring fresh, diverse talent into UN programmes from countries that are currently unrepresented among UN Volunteers. It offers a unique opportunity to help ensure that global volunteering truly reflects the world we serve, while giving participating UN Volunteers meaningful, hands-on experience with leading UN partners. As such, the initiative targets candidates from the following nationalities: Andorra, Croatia, Estonia, Liechtenstein, Malta, Monaco, San Marino, Slovenia.
The United Nations Volunteers (UNV) assignment is part of UN Women Sudan’s Women, Peace and Security (WPS) portfolio of the UN Women Sudan Country Office.
Building on the office ongoing efforts to strengthen women’s participation in peacebuilding and support women-led peace initiatives, the recruitment of a WPS Associate would significantly strengthen UN Women Sudan’s ability to advance the Women, Peace and Security (WPS) agenda in a highly complex and rapidly evolving conflict context, where demands for structured field-level peacebuilding support continue to outpace current programme capacity. The role will provide dedicated programmatic and administrative support to expand efforts to promote women’s leadership in peacebuilding in a more systematic, consistent, and scalable manner. The UN Volunteer will work closely with programme and operations teams, implementing partners, and national stakeholders to support effective delivery of programme activities aligned with the Strategic Note 2026–2029 and donor-funded projects focused on women’s leadership and peacebuilding outcomes, contributing directly to monitoring, reporting, and strengthening programme coherence and results-based implementation.

Task description
Within the delegated authority and under the supervision of the Women, Peace and Security (WPS)
Programme Specialist, the UN Volunteer will:
1. Provide programmatic support to the formulation and management of programmes and partners relations
• Provide support in the preparation of programme work plans, budgets and proposals and programme implementation arrangements;
• Assist the programme team in the drafting of Terms of Reference (TOR), call for proposals (CFP) and Internal Memos and related;
• Follow up with the team on the regular update of the monthly and quarterly tracking tools;
• Assist in drafting quarterly and annual reports of the programme and uploading of cleared reports to PRISM;
• Assist the programme team in conducting trainings to key stakeholders and partners;
• Prepare information for the audit of the WPS programmes and support implementation of audit recommendations;
• Support and monitor UN Women’s internal procedures in creating agreements and keeping appropriate recordings and relations with IPs;
• Assist the team in holding regular programme team meetings and take minutes of the meetings and follow-up with the team members on implementation agreed action points;
• Perform other related duties as assigned by the supervisor in support of UN Women Sudan’s Women, Peace and Security portfolio.
2. Provide support to the financial management of the WPS programmes/projects
• Support the programme team in tracking use of financial resources, follow up with Implementing Partners (IPs) for timely reporting, and review of reports.
• Closely work with programme and finance team in ensuring timely fund transfers as per the plans /agreements with IPs;
• Create projects in PRISM, prepare budget revisions, revise project awards and status; and determine unutilized funds and the operational and financial closure of projects (Quantum);
• Provide administrative support in monitoring budget preparation and the finances of programme/projects, including the finalization of FACE forms;
• Review financial reports and assist partners technically if need may arise;
• Prepare documentation for consultant payments;
• Maintain internal expenditures control system;
• Create requisitions in Quantum for projects
3. Provide administrative support to the WPS programme
• Undertake all logistical, administrative, and financial arrangements for organisation of meetings, workshops, events, and missions;
• Prepare public information materials and briefing packs;
• Assemble briefing materials and prepare power-point and other presentations;
• Create requisitions (ERQ) for procurement and process payments for consultants;
• Receive correspondence and articulate the response with counterparts;
• Support the registration of new donor and partner agreements (DAMS, PGAMS)
4. Provide administrative support to resource mobilization
• Prepare cost-sharing and other agreements;
• Follow up with the programme team’s resource mobilization efforts;
• Organize, compile, and process information from donors, regional and country office, and the WPS programme team, as inputs to various databases, studies, and documents.
5. Facilitate knowledge building and knowledge sharing
• Contribute to the synthesis of lessons learnt, and good practices related to programme management and finance;
• Provide administrative support to the organization of training for the office staff and partners on programme and operations related issues;
• Identify sources, and gather and compile data and information for the preparation of documents, guidelines, talking points, speeches and position papers;
• Asist in the dissemination of knowledge products generated under the WPS programme portfolio;
• Keep an updated physical and digital archive of all WPS programme documentation / knowledge products.
