Internal and external candidates will be considered for this vacancy. For the purposes of this vacancy, internal candidates are defined as staff members holding a regular, fixed-term or short-term graded or ungraded contract, including Junior Professional Officers (JPOs), staff on Special Leave Without Pay (SLWOP), UN Volunteers with at least twelve (12) months of continuous service in IOM, and staff members on secondment/loan released by the Organization, unless otherwise specified in their contract. Staff members holding a regular, fixed-term or short-term graded contract will not retain their contract type if appointed to an ungraded position.
Organizational Context and Scope
Under the direct supervision of the Supply Chain Officer and the overall supervision of the Procurement and Logistics Officer, the Junior Fleet Assistant” shall be responsible for the provision of an effective and efficient transport support to all mission activities in line with IOM standard procedures rules and regulations. Specifically, the successful candidate shall be responsible for the following duties:
Responsibilities
Assist the Procurement and Logistics Assistant in organizing movement of all mission vehicles assigned at Aden. Prepare daily vehicle movement schedule in coordination with program managers and heads of units.
Draw up and update drivers’ schedules and contact details and to make sure drivers are on time for pick up / drop-off of staff members.
Monitor the transport logbook system for all the vehicles. Check and validate the accuracy of the entries made into the vehicle logbooks .
Verify vehicle maintenance and follow-up of the weekly vehicle checks.
Monitor vehicles filling, Vehicles must be refueled every weekend and on the last day of the month.
Ensure that all mission vehicles are kept clean (in and out), properly maintained, and kept in good running condition all the time.
Immediately report all problems involving transportation and dispatching to Procurement and Logistics Assistant.
Perform other duties as may be assigned.
Qualifications
Required Qualifications and Experience
Education
• High school degree with minimum 3 years of administrative experience is required;
Bachelor’s degree or equivalenting in Business Administration, Logistics, Supply Chain Management with one year experience.
Accredited Universities are those listed in the UNESCO World Higher Education Database.
Skills
knowledge of mechanics
valid driver’s license
Good knowledge of Microsoft tools (Excel, Word)
Capacity to work as part of a team, to handle stressful situations and sometimes hostile environments.
Ability to meet deadlines and work under pressure, available.
Good communication skills and the ability to work effectively within a team of colleagues from diverse cultures and professional backgrounds
Languages
All IOM staff members in all categories are required to be fluent in one of the IOM's official languages (English, French, Spanish).
For this position, Fluency in English is required (oral and written).
Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
