The Internship Programme aims at attracting talented students and graduates who have a specific interest in, or whose studies have covered, areas relevant to IOM programmes and activities. Interns must be between 20 and 36 years old and should have less than two years of relevant working experience. 

 
In general, the Internship Programme aims at attracting talented students and graduates who:

 
a) have a specific interest in, or whose studies have covered, areas relevant to IOM programmes and activities;
b) are holding a scholarship for internship placements in international organizations and/or for whom internship is required to complete their studies; or
c) are sponsored by governmental/non governmental institutions and/or academia to work in specific areas relevant to both IOM and the sponsor.
d) are either enrolled in the final academic year of a first university degree programme (minimum Bachelor’s level or equivalent) or have graduated in the last 12 months.
e) are between 20 and 36 years of age.

 

Background Information

Under the overall supervision of the Chief of Mission and direct supervision of the Head of Resources Management, the intern will be responsible and accountable for providing support to the HR and Admin units. The intern will have the opportunity to gain practical experience in Human Resources and Administrative functions while developing professional skills in a multicultural and international working environment.

           Human Resources Responsibilities
  • Provide administrative and clerical support to facilitate the effective implementation of Human Resources activities in the office.
  • Assist in communicating with candidates regarding recruitment processes, interview schedules, and other recruitment-related administrative matters.
  • Support the preparation of written tests, interview materials, and interview logistics, including scheduling and coordination with panel members.
  • Maintain and update electronic personnel files, records, and HR documentation in accordance with organizational policies and procedures.
  • Assist with onboarding activities for new staff members by coordinating with ICT, Procurement, Administration, and other relevant units to ensure timely completion of required arrangements.
  • Support the monitoring and tracking of staff attendance, leave records, mandatory trainings, and other HR compliance requirements.
  • Maintain and update HR databases, trackers, and employee records to ensure data accuracy and completeness.
  • Assist in the preparation of HR correspondence, reports, statistics, and other documentation as required.
  • Support the organization of staff learning and development activities, workshops, and employee engagement initiatives.

    Administrative Responsibilities

  • Provide reception support by welcoming visitors, answering telephone calls, and responding to routine inquiries, as required, in support of the Executive and Administrative Assistant.
  • Assist in coordinating courier services, mail distribution, and the delivery of documents and office supplies.
  • Support document management activities, including scanning, photocopying, printing, filing, and electronic archiving.
  • Assist in organizing meetings, workshops, and events, including venue preparation and logistical arrangements.
  • Support inventory tracking and the management of office supplies and stationery.
  • Provide general administrative support to facilitate the efficient and effective operation of the office, as required.
  • Perform other duties as assigned by the supervisor.

Qualifications

Required Qualifications and Experience

          Education

  • Be enrolled in the final academic year of a first university degree programme in Business Administration, Finance, Management, Accounting, or a related field from an accredited academic institution (minimum Bachelor’s level or equivalent); or 
  • Be enrolled in a graduate school programme in any of the above (second university degree or equivalent, or higher); or 
  • Have graduated with a university degree (as mentioned above) and, if selected, must commence the internship within one year of graduation

    Experience

  • Previous experience in Human Resources, Business Administration, or a related field is advantage. 
  • cExperience in administrative tasks, document management, absence management et.
  • Exposure to event planning, training coordination, or employee engagement activities.
  • Experience working in a multicultural or international environment is an advantage

    Skills

  • Strong verbal and written communication.
  • Ability to draft professional emails, reports, and presentations.
  • Ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy.
  • Ability to manage virtual meeting platforms (Zoom, Teams).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to collaborate with different teams and departments.
  • Strong people skills to engage with staff and stakeholders.
  • Professionalism and ability to work in a diverse, international environment

Languages

For this internship, fluency in English and Tok Pisin is required. 

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.

Notes

Depending on experience and location, interns are granted a small monthly stipend to help offset costs. Interns benefiting from an internship allowance or scholarship granted by their university or other sponsoring body that includes financial remuneration or credits for coursework will not be eligible for the stipend.

IOM covers Interns against occupational accidents and illnesses under the Compensation Plan (CP), free of charge, for the duration of the internship. IOM does not provide evacuation or medical insurance for reasons related to non-occupational accidents and illnesses. Interns are responsible for their own medical insurance for non-occupational accident or illness and will be required to provide written proof of such coverage before commencing work.
