Organizational Setting and Reporting Relationship
The position of Operations Assistant is assigned to the Energy Division (SD1-ENE) within Sectors Department 1 (SD1). You will be based at our Headquarters in Manila, Philippines.
You will report to the Director or designated Technical International Staff (TI).
Your Role
As an Operations Assistant, you will provide a full range of administrative support for SD1-ENE activities. You will also provide operational support in project processing activities related to loans and technical assistance (TA), portfolio management, as assigned by your supervisor.
You will:
- Ensure that all correspondence and documents for supervisors are prepared in compliance with ADB's standards and logged and distributed to the staff concerned.
- Screen incoming calls and take accurate messages. Deal with queries from callers and visitors, establishing the nature and priority of requirements. This ensures that unexpected visitors are routed promptly to the staff concerned.
- Ensure the effective coordination of supervisor's calendar and arranging appointments, meetings, travel, and accommodation as specified by the supervisors and following ADB procedures.
- Help with project processing by ensuring all documents are processed following existing procedures and guidelines, coordinating review of project documents with relevant units promptly, and monitoring processing timelines to meet planned approval dates.
- Ensure that office filing systems and records are maintained and updated for easy retrieval and track the flow of documents with the use of databases for monitoring
- Support knowledge management activities.
- Provide back-up support to the other operations assistants in the latter's absence or relieve other operations assistants
- Perform other responsibilities that may be assigned by the supervisor.
Qualifications
You will need:
- Bachelor's degree in economics, commerce, engineering, or other fields.
- At least 5 years' relevant professional experience.
- Computer skills with sound knowledge of common word processing and spreadsheets. Preferably, you should also have experience with business intelligence and artificial intelligence applications, and familiarity with computer systems used generally in multilateral organizations.
- Good coordination with the ability to liaise and work with individuals from different professional and cultural backgrounds.
- Experience liaising and working with different stakeholders.
- Knowledge of procedures, formats, and standards relevant in the performance of work.
- Experience coordinating and exercising judgment on matters of confidentiality and those requiring urgent attention especially in the supervisor's absence.
- Written and verbal proficiency in English and local language (as applicable)

This appointment is open to internal and external applicants.
This opening is a local staff position. It is open only to nationals and permanent residents of the Philippines.
This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
