We are seeking an Administrative Assistant to provide administrative and operational support to the Hospitality area. This role will be responsible for coordinating service requests, maintaining accurate records, supporting communication with residents and users, preparing reports, and ensuring the efficient execution of daily operations. The ideal candidate will be highly organized, service-oriented, and able to manage multiple priorities in a dynamic environment while contributing to the delivery of high-quality hospitality services.
Principal Duties:
1. Administrative Records & Documentation
• Organize and maintain hospitality files and logbooks.
• Support the organization and filing of administrative documentation related to hospitality services.
2. Sales & Operational Reporting Support
• Prepare daily sales reports using the Mercado Pago terminal for hospitality-related services (souvenirs, cleaning services, fleet).
• Support the consolidation and submission of operational sales data as required.
3. Ticket Creation & Tracking
• Create and track service tickets directed to IT, HR, Legal, Maintenance, Facilities, and other support areas.
• Monitor ticket progress and update records until closure.
4. Communication & Information Support
• Support communications to residents and hospitality users regarding important updates (email notices, weekly posts, WhatsApp messages), following approved content and instructions.
• Assist in disseminating hospitality-related information through internal communication channels.
5. Content & Platform Support
• Assist in the creation of visual and informational content for internal and external communication (presentations, banners, brochures, flyers, collages).
• Support content updates for the CIMMYT Inside intranet Hospitality section.
6. Orientation & User Support
• Assist in the creation of visual and informational content for internal and external communication (presentations, banners, brochures, flyers, collages).

Requirements
- Minimum 2 years of experience in an administrative or operational support role.
- Experience in hospitality or service environments is desirable.
Technical studies or Bachelor’s degree in Business Administration, Hospitality, or a related field (or equivalent experience).
Proficiency in MS Office proficiency, experience with financial/accounting systems (e.g., ERP or SAP), procurement and vendor management, report preparation, translation (English/Spanish), and meeting coordination tools (Teams, Zoom, SharePoint).
Proficiency in Microsoft Office (Excel, Word, Outlook).
Ability to work with ticketing systems, internal platforms, and basic content tools.
