The Logistics/ Security Officer is a key member of the Geneva Centres in Amman with joint reporting lines to Regional Managers of both GICHD and DCAF. The Logistics and Security Officer provides all logistical/ procurement and security support for both regional centres. The position is offered for an initial one-year national contract, with the possibility of extension.
Key responsibilities
a) Logistics
- Responsible for ensuring that the organisations` travel policies and procedures are well understood and followed;
- Manage all staff transport, ensuring coordination with colleagues, partners, and transport contractors as necessary;
- Ensure the smooth running of centers` activities, including venue, transportation, participants etc;
- Ensure maximum availability and implementation of controls and monitoring mechanisms for all logistics assets such as vehicles, IT equipment, and all other technical items to maximize efficiency and ensure regular maintenance;
- Prepare logistics reports and provide regular updates to management;
- Maintain and update an inventory of all assets across the Amman office.
b) Procurement
- Develop and execute procurement plans and activities in cooperation with the team and as per organizational needs;
- Conduct market research to identify reliable suppliers and competitive pricing;
- Negotiate contracts, terms, and conditions to secure favorable agreements;
- Establish and maintain long-term relationships with key suppliers;
- Monitor supplier performance and resolve any issues promptly;
- Identify and mitigate risks associated with procurement practices.
- Oversee the procurement cycle, including tenders, evaluations, and contract awards;
- Ensure the timely acquisition of goods and services to support operations;
- Ensure all procurement activities adhere to legal, organizational and donor standards and policies.
- Maintain accurate records and documentation for auditing purposes.
C) Security
- Operate and monitor CCTV cameras, alarms, and other surveillance equipment to detect suspicious behavior or security breaches;
- Regularly check doors, windows, gates, and other entry points to ensure they are secure and identify any vulnerabilities;
- Manage access to facilities by verifying identification, issuing visitor passes, and ensuring only authorized personnel enter restricted areas;
- Accurately record visitor information, including names, times of entry and exit, and purpose of visit;
- Ensure compliance with all security policies and procedures by employees, visitors, and contractors;
- Promptly respond to alarms, disturbances, and emergency situations such as fires, medical emergencies, or security threats;
- Assist in the implementation of evacuation plans during emergencies, ensuring the safety of all occupants;
- Document all security-related incidents, observations, and actions taken in detailed and accurate reports;
- Immediately report any suspicious activities, unauthorized persons, or potential threats to appropriate management or law enforcement;
- Recognize and report potential safety hazards, such as faulty equipment, spills, or unsafe conditions;
- Ensure adherence to safety regulations and guidelines to prevent accidents and injuries;
- Cooperate with local law enforcement and emergency services during investigations or emergencies;
- Provide clear and concise security-related information to employees and visitors.
Qualifications and professional experience
- A bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field.
- A minimum of 3 years of experience in procurement , logistics or supply chain management.
- Prior experience in security of diplomatic entities/ international organisations preferred.
- Familiarity with operating surveillance equipment, such as CCTV and alarm systems, is preferred
Knowledge, skills and competencies
- Native Arabic speaker. Fluency in English, both written and oral. Fluency in other language(s) an advantage
- Observation and attention to detail: The ability to keenly observe surroundings, identify suspicious activities, and notice small details is paramount for effective security.
- Situational Awareness: Maintaining a constant awareness of the environment and potential threats to anticipate and prevent incidents.
- Critical Thinking and Problem-Solving: The capacity to analyze situations quickly, make sound judgments under pressure, and resolve issues effectively
- Able to work outside normal office hours when necessary.
