Mission and objectives
UNDP’s Tokyo Office has provided crucial support to UNDP projects for sustainable human development. This support is achieved through donor relationships and the provision of liaison service for UNDP Headquarters and Country Offices and is supported by communications and advocacy activities for Japanese constituencies and the general public.
Context
UNDP Representation Office in Tokyo plays a critical role in fostering UNDP’s partnership with Japan. This includes collaboration with the Japanese Government, civil society, the private sector, academia, and other stakeholders. The office engages in policy dialogue, project co-financing, joint conferences, and advocacy efforts to promote the Sustainable Development Goals (SDGs). To support these activities, the Partnership Support Officer will provide effective and efficient support for public and private partnerships and communications under the overall supervision of the Partnerships Specialist at UNDP Crisis Bureau (CB).
Task description
The Partnership Support Officer is expected to support partnership-building activities with the Japanese government and private sector, and to contribute to the visibility of UNDP’s work in crisis-affected countries. This includes providing public-private partnership support for the Japan Supplementary Budget (JSB) projects implemented by the Crisis Bureau in eight countries facing critical situations. The role encompasses event and workshop organization, content creation, translation, editing of communication materials, private sector due diligence, knowledge management, and strengthening of media relations to expand engagement within Japan.
Under the guidance and direct supervision of the Partnership Specialist at the UNDP Crisis Bureau (CB), the Partnership Support Officer will support the implementation of CB–Japan partnership activities. The Officer will undertake the following tasks:
A. Partnership Development Support in Japan
• Maintain strong and effective communication with government counterparts (e.g., the Ministry of Foreign Affairs (MOFA), the Ministry of Economy, Trade and Industry (METI), and the Ministry of Justice), Japan External Trade Organization (JETRO), Japan International Cooperation Agency (JICA), Japan Business Federation (Keidanren), and other key partners.
• Arrange and coordinate meetings with private sector companies and High Net Worth Individuals in Japan; prepare meeting materials and provide note-taking support.
• Support follow-up communication and coordination with partners and donors as required.
• Collect inputs from field offices and country offices; prepare donor reports and other reporting documents as requested by donors and partners.
• Provide advice to country offices to communicate effectively with Embassies of Japan and other Japanese actors where relevant.
B. Private Sector Engagement and Due Diligence
• Prepare and maintain a database or Excel matrix of private sector companies with which UNDP has been engaging in Japan.
• Conduct private sector due diligence in line with relevant UNDP procedures and guidance.
• Compile and organize relevant background information on prospective and existing partners.
• Act as a focal point for speakers, participants, and partners in Japan where relevant.
C. Event Coordination and Logistics Support
• Coordinate with internal and external stakeholders, including co-organizers, partners, speakers, subcontracted service providers, and relevant UNDP offices.
• Liaise with vendors and service providers, including those responsible for IT management, simultaneous interpretation, venue arrangements, and other event-related services.
• Manage logistical arrangements, including participant registration, invitation letters, travel arrangements for international and domestic speakers, document compilation, presentation file collection, procurement support, and venue coordination.
• Support communications and reporting related to events and workshops.
D. Knowledge Management and Administrative Support
• Organize and maintain the team’s online workspace, including folders, files, and records related to CB–Japan partnership initiatives; ensure relevant documents are stored systematically and are easy to retrieve.
• Develop communication and knowledge products on UNDP’s work in crisis-affected countries; coordinate with global project communication teams to translate content, stories, and knowledge products.
• Support media monitoring and engagement with Japanese media; manage posts on Japanese social media channels and contribute to global communication campaigns.
• Identify, document, and draft best practices and lessons learned; support other administrative and coordination tasks related to CB–Japan partnerships.
E. Other duties:
• Perform other functions as may be required by the Office consistent with qualifications and experience.
