Finance Associate
To support effective project delivery in terms of efficient and effective management of financial resources, donor reporting, bookkeeping and audit support, IUCN seeks a suitable candidate for the position of Finance Associate. H/She will be locally recruited and be part of the IUCN corporate team.
Reporting to the Finance and Administration Manager, the Finance Associate plays an important role in in supporting the general accounting functions of the Sri Lanka Finance Unit, working as a team to :
- Maintain and update general accounting records and files
- Process payments to vendors and staff in line with IUCN policies, procedures, internal controls and generally accepted accounting principles
- Manage petty cash, including safe custody of cash on hand and regular reconciliations
- Manage inter-company payments and other transactions
- Provide documentation for internal and external audits
SPECIFIC DUTIES
• Ensure completeness of supporting documents for all financial transactions. All financial transactions must be made in accordance with IUCN policies and procedures and donor requirements.
• Process all payments to vendors, staff and partners ensuring compliance with IUCN policies and internal controls
• Act as the custodian of petty cash, process petty cash payments and ensure that cash receipts are supported by relevant documentation, reconcile petty cash on monthly basis and arrange petty cash replenishments and maintain agreed level of cash in hand for disbursements
• Prepare Bank and petty cash reconciliations on monthly basis and assist with reconciliation of other balance sheet accounts and upload them to the NAV checklist
• Review and process staff expense and travel claims, ensuring compliance with IUCN policies and guidelines; coordinate with staff on any related issues or supporting documents Manage cash or cheque receipts from staff and third parties, process receipt vouchers and issue official receipts
• Record sales invoices in the ERP system
• Assist in providing supporting documents, vouchers, etc., to facilitate donor and audit requirements
• Update and maintain assets register and inventory database in ERP
• Assist in processing month-end and year-end closing entries.
• Process Inter Company transactions and submit related debit/credit notes as appropriate.
• Carry out any other responsibilities entrusted by the supervisor from time to time.
