Responsibilities
• Performs the following actions, and any other actions related to the employment cycle in a timely and accurate manner to ensure that the required client employment status is up to date and related documentation is processed timely for the end payroll result: I. Prepares, follows up, and distributes related employment documents such as but not limited to new offers of appointment, letters of appointment, contract extensions, salary increments, promotion letters, transfer letters, certificates of employment, Testimonials, Special leave with/without pay/with half pay, sick leave, separation letters, administrative details and miscellaneous correspondence; II. Contacts clients at onboarding and prior to separation to verify accuracy of information and address any questions/concerns; III. Ensures proper placement of the above referenced and any related documents in the Official Status File (OSF) and digitally on SharePoint chronologically for documentation and ease of reference as required; ensures that OSF and digital versions for a designated group of clients is always up to date and in good order; IV. Assists SHRO (IPSS) in the administration of personnel entitlements as required and ensures compliance with Staff Regulations, Rules and Personnel Directives and issuances; • Responsible for Payroll and ERP related matters for the International Personnel Section. Assists in the timely completion of HRM and payroll system (REACH) data entry to meet payroll deadlines ensuring the accuracy and timely disbursement of salaries and allowances. Coordinates the resolution of payroll and ERP related issues and serves as the focal point for related processes and transactions. • Prepares, consolidates and distributes Agency-wide international personnel data, statistics, and management information for audit, management, donor and other reporting requirements, coordinates with SHRO (IPSS) on the provision of any personnel information and reports including submission to entities such as the Chief Executive Board (CEB), UN Board Of Auditors (UNBOA), and Joint Inspection Unit (JIU). • Monitors Agency wide ePERs completion rate and compliance for international staff, maintains accurate staff information in the ePER system, and provides collated monthly reports to SHRO. Contributes to the enhancement of the eERP and other e-Systems as required. • Responsible for providing client services to the designated group of clients/offices throughout the employee lifecycle from onboarding to separation in a timely and accurate manner involving appropriate coordination with all required parties including but not limited to the staff member, the Department/Field concerned, HRD management, Finance, Administrative and General Services Support Department, and other agencies (including CIGNA, AETNA (etc) and United Nations Joint Staff Pension Fund (UNJSPF). • Monitors and administers attendance and leave records for designated groups of clients; updates Annual Attendance Record Cards (ARCs) as applicable, serves as the focal point for e-Leave and provides the required information and reports for annual year-end closure exercise; including leave balance liability reporting for Finance. • Acts as backup for counterparts or other section staff as required and ensures handover and status report at the end of such assignment; • Performs other duties as may be assigned by the supervisor.

Assessment
