About DRC
The Danish Refugee Council (DRC) is a humanitarian, non-governmental and non-profit organization, founded in 1956, that works in more than 35 countries around the world. DRC is one of the largest protection actors in Kenya, actively coordinating and advocating for improving the protective environment for refugees and host communities. DRC implements Protection monitoring, Child Protection and GBV prevention and response programmes in its areas of operation to address protection issues faced by displaced and non-displaced at-risk groups and individuals. The programme also aims to identify and build synergies with DRC´s Economic Recovery sector to facilitate durable solutions and Humanitarian Disarmament & Peace Building activities to enhance to respond to the needs of communities affected by acute crisis as well as those in protracted displacement situations.
Overall purpose of the role:
The Information Management Intern will be based in Nairobi and will support the Information Management Team in strengthening data management, analysis, visualization, and reporting across the Danish Refugee Council (DRC) regional and country programmes. Working under the supervision of the Information Management team, the intern will assist in maintaining information management systems, supporting data quality processes, preparing reports and dashboards, and providing technical and administrative support for information management activities.
The internship offers an opportunity to gain practical experience in humanitarian information management while contributing to evidence-based decision-making and organizational learning. The intern will collaborate closely with programme teams, MEAL colleagues, and other technical units as required
Duties & Responsibilities:
Information System Support
- Support the Information Management Team in maintaining and updating information management systems, databases, and dashboards.
- Assist in ensuring that information systems are accurate, accessible, and aligned with organizational standards.
- Help develop and maintain data collection tools, templates, and supporting documentation.
- Support the standardization of information management processes across projects and departments.
- Provide first-level support to staff using information management tools and escalate technical issues where appropriate.
Data Collection, Analysis, and Reporting Support
- Assist in collecting, compiling, cleaning, and organizing data from multiple programme sources.
- Support data validation and quality assurance processes to improve the reliability and consistency of datasets.
- Assist in preparing routine reports, dashboards, maps, and data visualizations for internal and external use.
- Support the Information Management Team in analysing programme data and generating insights to inform decision-making.
- Assist with GIS and spatial data management activities where applicable.
Information Management Operations
- Support the maintenance of organized digital records and documentation repositories.
- Assist in consolidating information from different country offices and technical teams.
- Help track reporting timelines and support the preparation of periodic information products.
- Contribute to the testing and improvement of new information management tools and workflows.
- Capacity Building and Technical Support
- Assist in preparing user guides, training materials, and standard operating procedures for information management systems.
- Support the delivery of orientation sessions and basic training on data collection tools and reporting platforms.
- Provide day-to-day assistance to staff on routine information management processes under the guidance of the Information Management Team.
Data Quality and Data Protection
- Support routine data quality checks to identify inconsistencies, duplicate records, and missing information.
- Assist in implementing data quality assurance procedures across information management systems.
- Ensure that all data handling activities comply with DRC’s data protection, confidentiality, and information security policies.
- Support periodic reviews of data management practices and recommend improvements where appropriate.
Collaboration and Coordination
- Work closely with the Information Management Team to support ongoing projects and priorities.
- Coordinate with programme staff, MEAL colleagues, and other technical teams to facilitate timely data collection and reporting.
Learning and Knowledge Management
- Support the documentation of lessons learned, best practices, and case studies from programme data.
- Assist in maintaining knowledge management resources and information repositories.
- Participate in team meetings
Experience and Technical Competence
- Minimum of 1 years’ experience in information management, database design or database administration, and/or information management with development projects implemented by national/international NGOs/UN.
- Working knowledge and experience in data analysis software (Excel, SQL, Access, PowerBI or other statistical package)
- Strong knowledge of data management systems, including database design, management, and administration.
- Experience with GIS mapping and other spatial analysis tools is an advantage.
- In-depth understanding of database platforms and the ability to write code and queries.
- Knowledge of M&E processes and data collection platforms such as Kobo, ODK, SurveyCTO, CommCare.
- Demonstrated experience in training and capacity-building on information management systems and data collection processes.
- Strong analytical and problem-solving skills, with attention to detail.
- Excellent communication and collaboration skills, with the ability to work in diverse teams.
- Strong organizational skills, with the ability to manage multiple tasks and meet deadlines.
Education
University degree in computer science, Data Science or programming, information management, information technologies, or other relevant areas.
Certificate in programming languages desirable
Language
Fluency in written and spoken in English
