Reports to: Food and Feed Processing Scientist/Country Coordinator - Syria
Location: Damascus, Syria
Purpose of the position
The purpose of this position is to provide ICARDA Syria with the necessary flexibility and support for communication and administrative coordination in Damascus office. The position will be responsible for submitting official letters to national authorities and ministries, receiving incoming correspondence and mail, and ensuring that these are communicated to the Country Coordinator’s Office. The position will also provide support to visitors in Damascus office, as needed.

Main responsibilities
Administrative Duties:
· Assist with clerical tasks, including filing, data entry, and document preparation.
· Monitor office supplies, maintain inventory, and assist with purchasing and replenishment when required.
· Coordinate meeting logistics, including room setup, printing, copying, and distribution of materials.
· Receive, sort, and distribute mail, courier deliveries, and official documents.
· Facilitate correspondence between ICARDA and both governmental and non-governmental entities.
· Maintain the cleanliness and organization of common office areas and provide general operational support to ensure the smooth functioning of the office.
Driving Duties:
· Safely transport staff to various locations as required.
· Deliver and collect official documents, parcels, and office supplies in a timely and secure manner.
· Ensure the vehicle is properly maintained, clean, and in good working condition.
· Keep accurate records of vehicle usage and maintenance schedules.
· Comply with all traffic regulations and organizational transport policies.
