Organizational Context

The International Federation of Red Cross and Red Crescent Societies (IFRC) is the world’s largest humanitarian organization, with a network of 191-member National Societies. The overall aim of the IFRC is “to inspire, encourage, facilitate, and promote at all times all forms of humanitarian activities by National Societies with a view to preventing and alleviating human suffering and thereby contributing to the maintenance and promotion of human dignity and peace in the world.”

The Finance Department is responsible for supporting the organisation’s financial operations, including transaction processing, documentation, reconciliation, and reporting. As the volume and complexity of finance-related tasks continue to increase, especially end year closing period, additional support is required to ensure that routine activities are completed accurately, efficiently, and within the required timelines.

The internship programme is intended to provide practical exposure to finance and accounting operations while supporting the Finance team in its day-to-day activities. The intern will work under the guidance and supervision of the Finance team and will have the opportunity to develop practical knowledge of financial processes, documentation, data management, and internal controls.

Job Purpose

The purpose of the Finance Internship Project are to:

  • Provide operational support to the Finance Department in carrying out day-to-day financial activities.
  • Improve the efficiency and timeliness of routine finance processes, including data entry, invoice processing, payment documentation, filing, and reconciliation.
  • Ensure accuracy and completeness of financial records and supporting documents through proper checking, verification, and documentation.
  • Provide practical learning opportunities for the intern to gain hands-on experience and develop knowledge of finance and accounting processes in a professional working environment.
  • Develop professional skills such as attention to detail, time management, confidentiality, communication, teamwork, and adherence to internal procedures and controls.

Job Duties and Responsibilities

  • Assist with verifying and processing vendor invoice in accordance with company policies and procedures. Followed up insufficient supporting document, pending approval in ERP. Approximately 250-300 invoices per month.  (Completed 150 invoices per month)
  • Assist with processing employee expense reimbursements in compliance with company policies. Approximately 30-40 per month.  (Completed 30 employee expense reimbursements per month)
  • Assist in maintaining an accurate and up-to-date accounts payable ledger. Support the monitoring of supplier payments by running reports twice per week and following up on pending payments (Supplier payment no delay since year 2025)
  • Assist with matching invoices with purchase orders and goods receipt notes to confirm accuracy. Followed up receipt with the purchase requestor in ERP. Approximately 50 Purchase order per month. (Completed 20 invoices linked with Purchase order)
  • Assist with Service and Sales Tax Submission, document preparation included Invoice, payment voucher and bank remittance to Kastam Malaysia. Support the verification of invoice amounts against relevant reports. Approximately 200 payment quarter months. (Printed 500 pages supporting documents submitted to custom)
  • Assist with Month end and Year end Closing - clearance for customer and vendor account, reconciliation of suspense account.

Education

Required

  • A university degree in Finance and Accounting, or a related field, or equivalent professional.

Experience

Required

  • No prior working experience is required; however, previous internship, part-time, or administrative experience will be an advantage.
  • Basic understanding of accounting and finance principles is preferred.
  • Familiarity with Microsoft Office applications, particularly Microsoft Excel, is an advantage.
  • Experience in handling financial documents, data entry, filing, or administrative tasks would be beneficial.
  • Good attention to detail and ability to work accurately with numerical and financial information.
  • Willingness to learn and adapt to finance processes, systems, and procedures.
  • Ability to maintain confidentiality when handling financial and company information.

Preferred

  • Familiarity with MS Teams, Zoom, and other online interactive tools such as Miro, Menti, Kahoot

  • Self-supporting in computers (Email, Internet, spread sheets, word-processing, etc.)

  • Good command of another IFRC official language (French, Spanish or Arabic)
