The Department of Partnerships, Governance, and Communications (DPGC), under the Executive Director’s Office (EDO), focuses on expanding GGGI’s strategic partnerships with key stakeholders, including governments, international organizations, the private sector, philanthropic organizations, NGOs, and other development actors. The Department ensures that the organization’s partnership efforts are aligned with the strategic objectives of GGGI and is also responsible for seeking various funding opportunities from a diverse range of donors. The Department also handles GGGI’s membership process, and manages the board affairs of the organization, providing support to the Assembly, Council, Advisory Committee, and MPSC Members to facilitate effective decision-making of GGGI’s Member States. Additionally, the Department raises the profile of the organization through developing and disseminating relevant and impactful communication materials and activities to support country-led, regional, and global events and initiatives.
Position Summary
The Executive Director’s Office (EDO) is seeking a highly organized and proactive Senior Assistant to provide administrative and operational support to the Department of Partnerships, Governance and Communications within EDO. Reporting to the Director of Partnerships, Governance and Communications, the Senior Assistant will be responsible for ensuring the efficient execution of administrative tasks, acting as the focal point for HR, procurement, finance, and general office management, while supporting meetings, events, and logistical arrangements.
The Senior Assistant will play a key role in supporting the Director of Partnerships, Governance and Communications to ensure effective operations of the Department by:

Providing administrative, logistical, and operational support to ensure seamless daily functions.

Serving as the focal point for HR, Procurement, Finance, and office management processes.

Organizing and supporting department-led meetings, workshops, and events.

Managing document control, archiving, and communications within the Department.

Managing CRM licenses and data for the preparation of progress reports.
Engagement
The Senior Assistant will work closely with various teams across GGGI, including:

Unit leads and team members to support administrative and operational needs

HR, Finance, and Procurement teams to ensure compliance with policies and smooth processing of requests

Other internal and external stakeholders in assisting with organizing internal/external meetings and events

Scope of Work
Under the supervision of the Director of Partnerships, Governance and Communications, the Senior Assistant will undertake the following tasks, adjusted to the agreed part-time level of effort:
4.1 Administrative and Operational Support
- Provide day-to-day administrative, logistical, and operational support to DPGC within the agreed part-time schedule.
- Serve as the Department's focal point for coordination with HR, Finance, IT, and Procurement units.
- Prepare, process, and track administrative and financial documents such as contracts, memos, reports, and payment requests.
4.2 Meetings, Events, and Calendar Management
- Coordinate internal and external meetings, including scheduling, correspondence, agenda preparation, minute-taking, and follow-up tracking.
- Maintain and update the DPGC calendar, including meetings, events, official travel, and staff leave.
- Provide logistical support for workshops, trainings, conferences, and retreats, including room booking and materials preparation.
- Assist with arranging international travel for delegates attending governance organ meetings and provide logistical assistance.
4.3 Document and Information Management
- Manage electronic and physical document control, filing, and archiving of official DPGC documentation, including correspondence, contracts, agreements, MoUs, reports, knowledge products, and other relevant documents.
- Effectively manage and maintain Customer Relationship Management (CRM) data related to the department’s operations.
- Utilize CRM data to support the preparation of monthly MT reports and KPI-related progress reports.
- Ensure updating on a monthly basis of the Donor information SharePoint Page, including monthly upload of the: Resource Mobilization (RM) pipeline, priority accounts calls, and updated engagement plans.
- Ensure scheduling of priority account calls, coordinating with account managers.
- Ensure accuracy, completeness, and accessibility of departmental records.
4.4 Other Duties

Requirements
Qualifications
- A minimum Bachelor’s degree in a discipline related to the role.
- 1-3 years of relevant experience in administrative or operational support roles.
- Fluency in written and spoken English is a must; good knowledge of Korean is desired.
- Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook) and familiarity with administrative systems.

Working Conditions
- The Senior Assistant, Executive Director’s Office position is a G5 grade level in GGGI’s Republic of Korea salary scale. The G5 Republic of Korea base salary commences at USD 42,012 per year. Determination of base salary is subject to a candidate's experience, academic background, and internal equity. This is a national position and does not include relocation benefits.
- GGGI provides 15% of base salary towards a retirement plan/long-term savings, 27 days of annual leave, and private health insurance that covers dental and vision.
