The World Organisation for Animal Health (WOAH, founded as OIE) is an intergovernmental organisation recognised by the World Trade Organization as the reference Organisation for intergovernmental standards concerning the sanitary safety of international trade of animals and products of animal origin and zoonoses, and is in charge of improving animal health, veterinary public health and animal welfare worldwide, as well as transparency of the global animal disease situation. WOAH maintains permanent relations with nearly 75 international and regional Organisations and has 13 regional offices around the globe.   WOAH Europe region has 53 WOAH Member Countries, and the permanent relationship with those Members and WOAH activities in the region are managed by 3 offices. The Regional Representation is in Moscow, and there are 2 Sub-Regional Representations, one based in Astana and the other in Brussels.   The Administrative Assistant contributes to the delivery of the Working Programme of the SRR-Brussels, in line with the WOAH Strategic Plan, by providing support to the daily administrative running of the team and liaising with the Administrative Assistants in the Moscow and Astana Offices, as well as the relevant departments in WOAH headquarters to guarantee the smooth coordination of activities within the region. The Administrative Assistant is also in charge of providing logistical support to the organisation and coordination of SRR-Brussels events, and contributes to supporting the communication and accounting duties within SRR-Brussels.
Description of the individual consultant assignment
Position and ReportingUnder the Authority of the WOAH Director General and the direct supervision of the WOAH Sub-Regional Representative in Brussels and in close collaboration with the other WOAH (Sub-)Regional Representations in Europe and WOAH Headquarters.
Mission objectivesProvide general administrative support to the SRR-Brussels– Support the daily functioning and management of the SRR-Brussels office (manage correspondence, prepare files, support the organisation and coordination of the office activities, preparing, processing, finalising, editing, formatting and checking documents);– Assist the SRR-Brussels staff with all professional administrative procedures, including travelling procedures. Provide support for the logistic and financial management of WOAH regional meetings– Coordinate the logistic preparation and organisation of events, including the logistic management and follow-up with the host country and the participants;– Assist in the financial preparation and arrangements, including DSA (daily subsistence allowance) calculations and, when present at the meeting venue, distribution of DSA, collecting supporting documents from the participants (claim, ticket stubs, itinerary, passport copy, etc.).   Contribute actively to the SRR-Brussels Communication duties– Support updating the content of the regional WOAH website and other communication activities– Provide inputs for publication materials, both internal and hosted by partners;– Assist in preparing SRR-Brussels activity reports (e.g. to donors); this notably includes the collection of relevant background information;– Draft, proofread, edit and format English working documents, presentations, and reports produced by the SRR-Brussels. Provide accounting support to the SRR-Brussels– Monitor budget and financial expenditures of the SRR-Brussels and their conformity to the work-plan; – Prepare quarterly accounting Report of the SRR-Brussels to be delivered to WOAH Financial Direction at Headquarters;– Liaise with WOAH Financial Direction at WOAH Headquarters on financial and administrative matters and ensure that all administrative and financial transactions are properly carried out according to WOAH internal requirements and procedures. Perform other duties as determined by the WOAH sub-regional Representative.
Requirements
Qualifications and experienceQualifications required– Undergraduate or graduate degree in public or business administration, languages, journalism or media, veterinary, public health, political sciences or other related area;– At least 3 years of successful professional experience.; Expected skillsTechnical skills– High fluency in written and spoken English is a critical requirement; other languages are regarded as an asset;– Proven writing, proofreading and editing skills in English;– Computer literacy in a Microsoft environment (Word, Excel, PowerPoint, Outlook) is essential;– Ability to write in a clear and concise manner and to communicate effectively orally;– Ability to manage processes and maintain accurate records. Personal and interpersonal skills– Autonomy and ability to work independently, with initiative capacities;– Effective organisational skills and ability to handle work in an efficient and timely manner;– Ability to coordinate tasks to meet deadlines;– Good interpersonal skills;– Ability to work in a multi-cultural environment with sensitivity and respect for diversity;– Ability to develop and maintain effective work relationships with counterparts.

Working conditions– Remuneration: 3000EUR gross per month – Duration: 5 months– Start date: October 1st, 2026– Location: WOAH Sub-Regional Representation in Brussels, Bd du Jardin Botanique 55, 1000 BruxellesThe post is a full-time position based at WOAH Sub-Regional Representation in Brussels. This post requires flexibility to travel internationally and long hours in a seated position at a computer.
