What you’ll do

Right now, we are looking for a Document Controller for our Information Management team. In this role you will report to our Information Management Manager and sit within our Project Delivery function. The team is responsible for ensuring that technical documentation and project information are structured, traceable, accessible, and managed consistently throughout the Boden project.

Type of employment: Permanent, with 6 month probationary period
Placement: Boden

As Document Controller, you will support the day-to-day management of project documentation and help ensure that information flows efficiently between internal teams, EPCM partners, contractors, and suppliers. You will work extensively in our Electronic Document Management System (EDMS) and play an important role in maintaining document quality, supporting project teams, and improving document control practices across the project.

Specific to this role, the day-to-day tasks will include the following but as we are a growing company with very little silos between teams, other tasks might be included as well.

  • Manage and maintain project documentation within our Electronic Document Management System, Omega 365

  • Maintain Master Document Registers (MDR) and Document Distribution Matrices (DDM) for your assigned project area

  • Ensure documents are correctly filed, distributed, tracked, and maintained in line with project procedures

  • Support internal teams, contractors, and suppliers with document submissions, metadata, access permissions, and document workflows

  • Provide guidance and training to project team members on document management processes and systems

  • Support project teams in locating and compiling documentation required for construction, regulatory compliance, and handover

  • Contribute to the continuous improvement of document control procedures, instructions, and ways of working

  • Verify document quality and compliance, and respond to documentation-related information requests and technical queries

Specific to this role, we would like to see that you can tick off a fair amount of the boxes below

  • 5+ years of experience as a Document Controller or in a similar information management role

  • Strong understanding of document and data requirements within construction or major project environments

  • Experience working with Electronic Document Management Systems (EDMS)

  • Experience with Omega 365 and Autodesk Construction Cloud is considered an advantage

  • Good understanding of Master Document Registers, document distribution, metadata, and document workflows

  • Strong organizational skills and attention to detail

  • Ability to collaborate effectively across multidisciplinary teams and with external stakeholders

  • Strong communication and time management skills, with professional proficiency in English
